Office Manager & Operations Coordinator
$50,000-$60,000 base salary + Annual performance benefits and full benefits
Job Summary:
Our client is seeking a highly organized and proactive Office Manager & Operations Coordinator to oversee the day-to-day administrative and operational functions of a growing civil engineering firm in Orlando.
This role is ideal for someone who enjoys wearing multiple hats and has experience supporting accounting, office administration, project coordination, HR, recruiting, and marketing within a professional services environment. Experience with Deltek Ajera is highly preferred.
Job Responsibilities:
- Manage daily office operations and serve as the primary contact for clients and vendors
- Process invoices, accounts receivable, expenses, payroll information, and financial records
- Perform monthly account reconciliations and assist with year-end accounting activities
- Coordinate engineering proposals and maintain CRM/project management systems
- Support project coordination with engineers, project managers, and clients
- Manage recruiting activities including job postings, candidate prescreening, and interview scheduling
- Assist with onboarding, benefits administration, and employee training
- Manage company LinkedIn content, branding initiatives, website updates, and marketing calendars
- Prepare permit applications and maintain organized documentation systems
- Provide administrative support across multiple departments
Qualifications:
- High school diploma required; Associate's or Bachelor's degree preferred
- Experience in office management, accounting, bookkeeping, business operations, or HR support
- Strong Microsoft Office skills
- Experience using QuickBooks or similar accounting software
- Experience with Deltek Ajera is highly preferred
- Experience within engineering, architecture, construction, or another professional services environment is preferred
- Strong organizational, communication, and multitasking abilities
- Self-starter who enjoys supporting a growing business
