Job Summary

We are seeking a highly organized and tech-savvy Webinar Coordinator for a 13-week temporary assignment in Lake Mary, FL. This hybrid opportunity is ideal for a professional with experience coordinating webinars, virtual events, training programs, or project-based initiatives in a fast-paced, collaborative environment.

The Webinar Coordinator will support the planning, setup, speaker coordination, quality review, execution, and post-event tracking of professional webinars. This role offers the opportunity to work closely with cross-functional teams, including Marketing, Operations, IT, and Sponsorship, while gaining valuable experience supporting large-scale virtual learning and engagement programs.

This is a strong opportunity for someone who enjoys managing details, communicating with presenters and stakeholders, learning new technology, and keeping projects organized from intake through completion. Key Responsibilities

- Coordinate live and pre-recorded webinars, including scheduling, project timelines, recording sessions, and webinar calendars.
- Communicate with speakers and presenters regarding requirements, deadlines, agreements, materials, onboarding instructions, and logistics.
- Review presentation slides and webinar materials for formatting, consistency, clarity, learning objectives, and required compliance elements.
- Assist with webinar platform setup, registration details, email communications, audience engagement tools, and event assets.
- Partner with Marketing, Operations, IT, production, and sponsorship teams to support smooth webinar delivery and deadline management.
- Maintain webinar tracking reports, update Smartsheet project trackers, monitor engagement metrics, and organize post-webinar materials.

Compensation and Benefits

- Pay Rate: $25.00 per hour.
- Job Type: Contract/Temporary assignment.

Required Qualifications and Skills

- Support planning, coordination, setup, and execution of professional webinars and virtual events.
- Manage speaker communication, presentation materials, deadlines, and webinar logistics.
- Maintain project trackers, webinar calendars, documentation, and reporting tools.
- Coordinate with cross-functional teams to ensure webinar milestones and deliverables are completed on time.

- 3 to 5 years of related experience preferred in webinar coordination, virtual events, training programs, project coordination, or a similar support role.
- Experience supporting speakers, presenters, volunteers, internal teams, or external stakeholders.
- Proficiency with Microsoft Excel required.
- Comfortable learning and adapting to new technology, software platforms, and digital event tools.
- Strong organizational, multitasking, and time management skills.
- Excellent written and verbal communication skills.
- High attention to detail, strong follow-through, and ability to manage multiple deadlines simultaneously.
- Ability to work effectively in a fast-paced, collaborative, professional environment.

Preferred Qualifications

- Experience with Smartsheet, Cvent, or webinar platforms.
- Experience supporting large-scale virtual learning programs, professional education events, or audience engagement initiatives.
- Familiarity with webinar registration workflows, email setup, polls, Q&A, surveys, and post-event reporting.
- Prior experience coordinating content review, speaker onboarding, or recorded training sessions.
