JOB SUMMARY:

Responsible for implementing database features, providing training and support for staff, surveillance for data entry errors and compliance, and general database maintenance of Donor Perfect software. Supports the Philanthropy Team to optimize donor relations and communication. Designs and develops reports, generating reports as requested by designated team members. Supports the Foundation by performing various duties, including answering the telephone, receiving guests, setting up/tearing down events, attending events and interacting with donors as directed.

  • High School Diploma or G.E.D. required. Associate Degree in business or related field required.
  • Two (2) years experience in customer service and/or data entry required. Experience with Donor Perfect, Raiser's Edge or similar donor data base software strongly preferred.
  • Must have a Valid Florida drivers License, maintain current auto insurance coverage and have access to a reliable automobile.
  • Ability to work unsupervised, exercising discretion and independent judgment.
  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures and governmental regulations, as well as documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers, patients/families or employees.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to operate a facsimile, copy machines, computers and other common office machines, with working knowledge of MS Word, Outlook, Excel and other software appropriate to position.

ESSENTIAL JOB RESPONSIBILITIES:

Includes the following. Other duties may be assigned.

  • Identifies, assesses, plans and implements improvements and/or upgrades to the DonorPerfect Software in collaboration with supervisor.
  • Provides for the technical implementation of new features, upgrades and expanded use of DonorPerfect software.
  • Manages electronic and digital communications for constituents/donors that goes through the database.
  • Provides report design and development; trains others to generate reports as needed.
  • Acts as the in-house expert for DonorPerfect, providing training and support to other database users.
  • Serves as the technical point of contact to interface with DonorPerfect Vendor and IT departments.
  • Sets and ensures compliance to standards for data entry and system security.
  • Defines procedures for database and information management processes, training/sharing with philanthropy team accordingly.
  • Tracks and processes pledges, recognized bequests and other gifts within donor perfect.
  • Researches and updates DonorPerfect records and other files when needed including address corrections, donor relationship linkages, etc.
  • Prepares miscellaneous donor correspondence as guided.
  • Provides excellent customer service in response to questions from donors/other Hospice staff regarding donations.
  • Codes deposits for Finance Department, posts donations and fund raising money in DonorPerfect.
  • Acts as regular interface with the accounting department for all gifts and donations.
  • Maintains G/L codes and assists in reconciliation in Donor Perfect at least monthly.
  • Supports philanthropic activities and planned giving tasks as assigned.
  • Performs a variety of duties, including but not limited to meeting scheduling, meeting set-up and follow-up tasks as directed.
  • Manages memorial items program, includes ordering items from vendors, ensuring inscriptions are accurate, and communicates with donor about placement of item.
