Medical Program Assistant
Job Summary:
This position will support the professional development and continuing education goals of the Department of Psychiatry at the School of Medicine and Public Health. This position must interface and serve as a liaison with Psychiatry Department staff, faculty, and leadership, UW Health Behavioral Health Staff, UW Interprofessional Continuing Education Partnership (ICEP) Office, Clinical Adjunct Faculty, and guest speakers (local, regional, and national). The Department of Psychiatry's Regularly Scheduled Series (RSS), hosted through the Dean's office, and accredited through ICEP will fall under the purview of this role. This position will also provide administrative support for the Vice Chair of Education & Faculty Development and the Vice Chair of Diversity, Equity & Inclusion; this support may include planning additional events, conferences, and accredited talks as assigned by the Vice Chairs. This position will work closely with other Medical Program Assistants and Coordinators in the Department, providing support and back-up for one another on an as-needed basis.
Responsibilities:
Performs administrative duties to support providers, staff, services, and unit programs. May serve as the primary contact or customer service representative and subject matter expert. Tracks, prioritizes, organizes, and completes multiple ongoing clinical, research or academic projects. Requires Health Insurance Portability and Accountability Act (HIPAA) and Personal Protective Equipment (PPE) knowledge or training.- 10% Performs administrative tasks including telephone customer service, word processing, transcribing, filing, and calendaring
- 10% Acts as the primary liaison for providers or programs and refers stakeholders to providers, agencies, patients, and staff
- 5% Assists in coordinating the complex daily activities of providers or program(s) by entering information into databases, maintaining files and materials, and preparing reports
- 5% Serves as the primary contact and subject matter expert for specified program policies and procedures
- 5% Coordinates with senior management to define program goals and fiscal objectives
- 5% Identifies opportunities for program improvements and makes recommendations to the appropriate entities
- 55% Schedules logistics and secures or distributes resources for program meetings, department events, conferences, and travel
- 5% This position is also responsible for set-up and tear-down of Department events, conferences, and meetings that they plan. This may include providing additional support for other administrative team members when the need arises.

Preferred H.S. Diploma
Qualifications:
- A minimum of 2 years' experience in an administrative role is preferred.
- Proficient in the Microsoft Office Suite (including Word, Excel, and Outlook) and highly adept at using software applications such as video conferencing platforms, presentation programs, calendaring systems, etc.
Work Schedule:
Work schedule will be Monday-Friday. Work hours will be determined upon hire.

Full Time: 100% This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Additional Information:
The primary location for this position is the Wisconsin Psychiatric Institute and Clinics at 6001 Research Park Boulevard. On occasion, duties may require work to be completed at other campus or UW Health Locations, such as University Hospital, 1102 S. Park, and Deming Way Behavioral Health.
