We are seeking a motivated and detail-oriented Project Administrator , based in Pompano Beach, FL , to support maintenance and operations programs through strong financial, administrative, and coordination support. This role is essential to ensuring projects run efficiently by managing budgets, processing invoices and reimbursements, coordinating contract authorizations, and supporting day to day operational activities.
The Project Administrator works closely with project managers, consultants, and leadership teams to track expenditures, monitor project performance, prepare reports and presentations, and support future work program planning. The position also plays a key role in emergency operations support, fleet and property management, and maintaining accurate operational records and systems. Essential Duties and Responsibilities:
• Financial Management for Maintenance.
• Support and manage the day-to-day operations.
• Responsible for all invoice processing, travel reimbursements, and purchasing for the consultant.
• Scope and manage all contract work authorizations.
• Property Manager for Maintenance.
• Manage and oversee purchase/lease of the Consultant’s fleet.
• Monitor work program activities and develop periodic system and performance reports.
• Coordinate the development of the project scopes, preliminary cost estimates and project justifications for future work program project request items (tour book).
• Prepare all budget reports and accounting procedures.
• Prepare presentations, reports, and briefings.
• Contract manager for the Consultant and the Emergency Operations Center (EOC). Coordinate and track emergency expenditures and manage expenditure reimbursement documentation.
• Maintain the Highway Operations (Roadway Maintenance and Facilities and Telecommunications) webpages with accurate and current information.
• Develop, monitor, track, analyze, forecast, and report on project budgets, estimates to complete, commitments, expenditures, project progress and productivity, work plans and schedules, projects cost at completion, subcontracts, and change management.
• Support Project Managers and Managers of Projects with monthly Project Reviews.
• Review of expenditure details, identifying incorrect charges, and commencement of the charge correction process
• Review, process and track sub consultant invoices on various projects
• Identify potential financial impacts early, report issues and problems to operations leadership, and work with project teams to address and implement recovery plans.
• Preparation and implementation of a wide variety of routine cost analyses, cash flow, and other cost related evaluations
• Other project duties as assigned.
Here's what you'll need
• BS degree in Business, Finance, or a related field, or 2 years relevant Budget/Project Management experience in lieu of a degree.

• Strong communication, leadership, and organizational skills.
• Proficient computer skills using MS Office tools and strong Microsoft Excel skills.
• Highly organized and detail-oriented.
• A strong aptitude for learning and adapting quickly.

100,000.00
Posted Salary Range: Upper
130,000.00

The base salary range for this position is $100,000.00 to $130,000.00. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
