Front Desk Receptionist / Administrative Assistant

In this role, you aren’t just answering phones; you are the "Director of First Impressions" and the operational heartbeat of a sophisticated financial team. salary: $18 - $24 per hour

work hours: 9 AM - 5 PM

Responsibilities

Key Responsibilities

  • Front Office Management: Greet clients warmly, manage the reception area, and ensure a professional environment.

  • Communication: Handle a multi-line phone system, screen and route calls, and respond to client inquiries via email with professionalism and accuracy.

  • Scheduling: Manage firm-wide calendars and schedule appointments for our CPAs and staff.

  • Document Management: Assist with the assembly and delivery of tax returns, scan financial documents, and maintain organized digital and physical client files.

  • Administrative Support: Prepare engagement letters, manage incoming/outgoing mail (including certified/overnight deliveries), and maintain inventory of office supplies..

What We’re Looking For

  • Experience: Minimum of 2 years in a professional office environment (experience in a CPA or law firm is a significant plus).

  • Skills: Proficiency in Microsoft Office 365 (Word, Excel, Outlook). Familiarity with tax software or QuickBooks is a bonus.

  • Communication: Exceptional verbal and written communication skills with a great command of business English.

  • Traits: A "self-starter" attitude with the ability to multitask and meet tight deadlines while maintaining a high level of confidentiality.
