We are seeking an organized and highly skilled Executive Assistant to join our team in Winter Park, Florida! The ideal candidate will possess exceptional time management and organizational skills, ensuring that our executives can focus on strategic initiatives. Experience in international shipping is a plus, as it will aid in our operational efficiency.

Responsibilities:

• Provide comprehensive administrative support to executives, including calendar management, travel arrangements, and meeting coordination
• Facilitate effective communication within the team and across departments by preparing and distributing meeting agendas, minutes, and reports
• Manage and prioritize incoming emails, calls, and correspondence, ensuring timely responses and follow-ups
• Assist with project management tasks, ensuring deadlines are met and resources allocated effectively
• Coordinate international shipping arrangements, track shipments, and ensure compliance with relevant organizations
• Maintain organized filing systems for both digital and paper documents, ensuring easy access to important information
• Generate reports as needed to assist executives in decision-making processes
• Uphold confidentiality and handle sensitive information with discretion

​ Qualifications:

• A minimum of 3 years of proven experience as an executive assistant or administrative assistant is required
• Exceptional time management and organizational skills, with the ability to prioritize tasks effectively
• Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other relevant software
• Experience with international shipping processes is a plus
• Ability to work independently and as part of a team in a hybrid environment
• A proactive attitude with problem-solving capabilities
