Probate and Trust Administration Paralegal

Job Overview:
We are seeking an experienced Probate and Trust Administration Paralegal to join a reputable law firm in Bradenton, FL. This role requires in-depth knowledge of Florida probate and trust administration procedures , court filings, and fiduciary support. The ideal candidate will be detail-oriented, proactive, and able to manage multiple cases while supporting attorneys, personal representatives, and trustees.
Key Responsibilities:
Estate Administration (Probate):
- Draft probate pleadings, including petitions, notices, and orders
- File documents with Florida circuit courts via the e-portal or in person
- Track and manage statutory deadlines for creditor notices, filings, and returns
- Support personal representatives in meeting legal obligations
- Collect, inventory, and value estate assets
- Publish notices to creditors and review claims
- Prepare probate inventories and accountings
- Assist in preparing documents for estate distributions
Trust Administration:
- Guide successor trustees through legal duties and requirements
- Draft and serve statutory trust notices to beneficiaries
- Facilitate retitling of trust assets (real estate, accounts, policies)
- Prepare trust accountings for beneficiaries
- Oversee trust distributions in accordance with trust documents
Tax & Financial Coordination:
- Assist with IRS filings such as Form 56 (under attorney supervision)
- Coordinate with CPAs and financial advisors for tax reporting and asset transitions
Legal Research & Documentation:
- Conduct research on Florida probate and trust laws
- Draft legal correspondence, waivers, consents, deeds, and releases
- Coordinate with title companies for real estate transfers
Client Communication & Support:
- Serve as a liaison between attorneys, clients, and beneficiaries
- Answer questions related to the probate/trust process (non-legal advice)
- Maintain confidentiality and professional standards
Administrative Support:
- Manage and organize electronic and physical client files
- Track hearing dates, filing deadlines, and key milestones
- Assist with billing and track billable hours
Qualifications:
- Minimum 3 years of experience in Florida probate and trust administration
- Strong understanding of Florida estate law, homestead provisions, and court rules
- Familiarity with estate planning tools (e.g., WealthCounsel, ElderDocx, HotDocs)
- Excellent communication, organization, and proofreading skills
- Able to handle confidential information with discretion
- Highly detail-oriented and deadline-driven
