We are looking for a skilled Legal Assistant to join our team in Tampa, Florida, on a Contract to permanent basis. The ideal candidate will play an integral role in supporting complex litigation processes in federal and state courts, ensuring seamless operations and effective collaboration within the legal team. This position requires a detail-oriented individual with experience in trial preparation, discovery management, e-filing, scheduling, and intellectual property litigation.
Responsibilities:• File legal documents electronically with federal and Florida state courts.
• Coordinate attorneys’ calendars, schedule client meetings, hearings, and track critical deadlines.
• Assist in drafting, proofreading, and editing legal documents and contracts to ensure accuracy and proper formatting.
• Maintain and organize both physical and electronic client files for easy access and updates.
• Review and prepare pre-bills for attorneys’ approval, ensuring all billing details are accurate.
• Draft client correspondence regarding invoices and address billing inquiries.
• Conduct new business intake processes, including conflicts checks and managing the opening and closing of client matters.
• Perform administrative tasks such as expense reporting, tracking client-related expenses, and handling general correspondence.
• Provide support for trial preparation, including organizing exhibits and documentation.
• Assist with trademark filings and matters involving the United States Patent and Trademark Office as needed.• Minimum of three years of experience as a Legal Assistant, preferably in a litigation setting.
• Proficiency in e-filing with federal and Florida state courts.
• Strong organizational skills to manage schedules, deadlines, and client files effectively.
• Excellent written and verbal communication abilities.
• Familiarity with intellectual property litigation and trademark filings is highly desirable.
• Skilled in using Microsoft Office Suite; knowledge of iManage and Aderant is a plus.
• Ability to handle sensitive information with confidentiality and professionalism.
• Capable of managing multiple priorities under tight deadlines and working extra hours when necessary.
