Your Specific Responsibilities:

This position is responsible for supervising staff in the Medical Therapies/Psychology board office. The incumbent must use discretion and independent judgment when performing their complex duties and responsibilities so that they meet the goals of the Department, the Division, and the Boards, as well as statutory requirements.

The employee in this position uses discretion and independent judgment in performing the duties as described. The supervisor manages a regulatory program with the Bureau of Health Care Practitioner Regulation, supervising employees responsible for licensure services, main phone line operations, office support and reports to an Executive Director. This office is responsible for licensure of health care practitioners. The position has primary responsibility for the Dietetics and Nutrition profession. The supervisor spends a significant portion of time communicating with, motivating, training, and evaluating employees, and planning and directing their work. This position is responsible for the supervision of staff including appraisals, planning, and directing their work, approving leave, and having the authority for hiring and taking disciplinary action or effectively recommending such actions.

The specific duties and responsibilities of the position include:

  • Hires, trains, and directly supervises two Regulatory Specialist IIs responsible for the Medical Therapies/Psychology board office main phone line, receptionist duties and processing Dietetics and Nutrition licensure applications. Ensures that office directives and policies are followed and that employees perform satisfactorily. Evaluates and motivates employees by preparing realistic goals and schedules, including the development of performance and quality control standards, monitoring progress and results, taking corrective actions and resolving performance problems. Reports to Board Director concerning work activities, employee performance and timesheet approval. Monitors review of applications performed by staff to determine applicant's eligibility for examination or endorsement and licensure and makes recommendations to the council regarding eligibility.

  • Completes administrative functions of the joint board/council office, which includes, but is not limited to, securing travel authorization for boards/councils and staff, securing staff travel arrangements, noticing all public meetings, securing court reporters, and meeting set up requests in compliance with policy. This is accomplished in coordination with other bureaus and entities. The employee will also purchase office supplies for the Unit’s business needs.

  • Serves as personnel liaison for the Medical Therapies/Psychology Unit, 17 staff members. This involves also serving as the PF manager for all personnel related board/council member tasks.

  • Serves as the Unit Administrator for the following systems: purchasing card, customer functional directory, Florida disaster emergency notification system (FDENS), and the Everbridge System.

  • Updates licensure database for deceased health care practitioners under this unit’s purview. The employee also completes the end process for archiving snapshot responsibilities associated with Balanced Scorecard processes .

  • Serves as Unit Records Management Liaison, point of contact for dishonored checks, and serves as primary backup for telephones and all front desk operations. Responsible for ensuring phones are staffed at all times during core business hours. (Monday – Friday 8:00 a.m. – 5:00 p.m.)

  • Assists the Board Director in coordinating with Finance and Accounting, the review of budgetary records for analysis of cost and control of board/council expenditures. This requires quarterly budget reports to the division budget analyst. Assists board director in ensuring office common areas are maintained in a clean and orderly fashion.

  • Responsible for the data entry and accuracy into the Balance Score Card.

  • Responsible for preparing travel authorizations forms for board staff and board members in the STMS System .

  • Ability to work independently and establish and maintain dependable, effective working relationships with others;
  • Ability to learn and utilize job-specific software such as LEIDS and AxiomPro and office equipment such as phones, fax machines, scanners, and copiers;
  • Knowledge of personnel management and use of personnel resources;
  • Knowledge and proficiency of Microsoft Office software;
  • Knowledge and proficiency in using Windows-based computers.

Qualifications:

Preference will be given to those who meet the following minimum requirements:

  • High School Diploma or equivalent AND 2 years’ experience that includes data entry, document preparation, computer software use, evaluating legal documents or evaluating for compliance with regulations, customer service, or handling sensitive information.
  • College education can substitute for the required experience on a year-for-year basis.
