RC Hospitality Solutions - Executive Administrative Assistant
Are you highly organized, detail-oriented, and thrive in a fast-paced environment? We are seeking an Executive Administrative Assistant to provide vital support to our executive leadership team. This role offers the opportunity to work closely with senior leaders across multiple departments, ensuring smooth operations, effective communication, and seamless coordination of executive projects.
What You’ll Do- Provide professional administrative support to executives, including calendar management, scheduling, and correspondence.
- Arrange complex travel itineraries and prepare expense reports.
- Assist in preparing presentations, agendas, reports, and meeting materials.
- Coordinate company meetings and Executive Committee functions, including logistics, agendas, and follow-up.
- Manage confidential documents and filing systems with discretion.
- Support general HR administrative functions while maintaining confidentiality in all matters.
- Assist with financial and office administration tasks, including supply ordering, expense tracking, and reconciliations.
- 3–5 years of experience supporting executives in an administrative role.
- Strong organizational and time management skills with the ability to juggle multiple priorities.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with collaboration tools (Teams, SharePoint, Zoom) is a plus.
- Ability to work independently, anticipate needs, and take initiative.
- Notary Public certification (or willingness to obtain).
- Bachelor’s degree in Business Administration or a related field preferred.
- Minimum of 3 years of experience in an administrative or support role, or equivalent combination of education and experience.

- Ability to frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds (e.g., boxes of office supplies, bottled drinks, coffee supplies).
- Specific vision abilities include close vision and color vision (e.g., spending extended time at a computer screen).
- Duties require sitting; using hands to finger, handle, or feel; reaching with hands and arms; and talking or hearing on a regular basis.
- Occasional standing, walking, climbing or balancing, stooping, kneeling, crouching, or crawling (e.g., typing, answering the phone).
- Must have reliable transportation and a valid Driver’s License.
- Must obtain and maintain Florida Notary Public certification.
- Starting pay: $25/hour, non-exempt.
- Benefits include medical, dental, vision, and life insurance.
- Paid Time Off (PTO) available after 90 days of employment.
