The Administrative Assistant provides administrative support to the company executives. Assists with special projects, research, and solving problems. Schedules meetings, drafting memos, transcribe notes, creates presentations, general reports, travel planner.
The Administrative Assistant will possess strong communication, administrative and organizational skills, along with a keen ability to maintain balance among multiple priorities in a fast-paced corporate environment.
JOB RESPONSIBILITIES
Administrative
- Maintain with discretion and diplomacy all confidential information in an appropriate manner
- Prepare presentations, memos, emails, and general correspondence on behalf of CEO and senior leadership as requested
- Calendar maintenance; internal/external meeting planning and execution to include agenda, logistics, and minutes; travel coordination, expense reports maintenance, etc.
- Communicate, coordinate, collaborate and facilitate effective partnerships with other departments in order to effectively carry out responsibilities and complete projects
- Support the planning of company's events
- Organizing and filing important documents and folders as needed.
- Creating binders for reports and financial information.
- Pulls reports as frequent as needed
- Others duties as directed
Customer Service:
- Receive incoming telephone calls and assist callers with any questions or comments, direct calls to appropriate team members
- Maintain a friendly attitude offering assistance and guidance to all persons over the phone, email or in-person.
MINIMUM Requirements
Education
- High school diploma or Equivalent
- Associates' Degree (Preferred)
Experience
- 5 - 8 years of recent administrative or customer service experience
Knowledge, Skills and Abilities
- Strong Computer Skills
- Excellent Administrative Skills.
- Excellent Customer Service Skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Ability to operate office equipment such as photocopiers, printers, fax machines, etc.
- Conveys information clearly and concisely in written and spoken communication
- Resolves problems and provides solutions to customers in a timely manner
- Time management and organizational skills
Work CONDITIONS
Work Environment
- Work indoors during all seasons and weather conditions
- Limited amount of local and/or multiple location traveling
- Comply with corporate dress code policy
Work Postures
- Sitting continuously for many hours per day, up to 6 hours per day
- May climb stairs to access buildings frequently
Physical Demands
- Physical effort requiring manual dexterity is required, includes paperwork, calculators, computers and phone usage
- Move, push and pull up to 25 lbs.
Work Hours
- Operations hours are Monday to Friday, 9:00 AM to 6:00 PM. (Business hours may vary per location and state)
- Hybrid work schedule is available at the manager's discretion.
