This newly created role is ideal for a detail-oriented professional with a passion for structure, systems, and seamless coordination. You will oversee inventory systems across multiple luxury residences and support property operations by streamlining stock management, auditing assets, and coordinating purchasing. You will collaborate with a diverse team, including Property Managers, a Hospitality Team, Internal Audit, and Senior Leadership. Key Responsibilities Inventory Oversight Create and maintain a centralized digital inventory system across all U.S. properties Conduct seasonal and routine audits of household, hospitality, and operational supplies Track high-value assets (furniture, art, equipment) in collaboration with estate and audit teams Standardize labeling, categorization, and storage procedures Continuously improve inventory SOPs and processes Ensure compliance with family preferences and internal policies across all properties Purchasing Procurement Support Forecast and coordinate supply needs with Property Hospitality teams Manage orders: tracking, confirming, and ensuring accurate delivery Monitor usage patterns and recommend cost-efficient solutions Assist in vendor evaluations and budget tracking for inventory-related purchases Data Management Reporting Maintain real-time data using platforms like Excel, SharePoint, MaintainX, or similar Build dashboards and reports for Senior Managers on stock levels, usage, and risks Prepare monthly and annual summaries for reconciliation and capital planning Support Internal Audit in compliance and documentation Ideal Candidate Profile Qualifications Bachelors degree in business, Supply Chain, Hospitality, or related field preferred Minimum 5 years experience in inventory, logistics, or luxury property operations Strong digital skills (Excel, databases, inventory management software) High level of professionalism and discretion Skills Competencies Detail- and process-oriented with meticulous organizational habits Able to work independently and collaboratively across multiple teams Proactive and adaptable Comfortable with significant travel and fast-changing environments Excellent communicator, written and verbal Committed to maintaining confidentiality and discretion Location Travel Requirements Base Location: Palm Beach, Florida Travel: Approx. 5060% U.S. travel to family properties and periodic travel to Costa Rica Must be open to extended stays during peak family seasons or special events Schedule Generally, Monday Friday, business hours, with some flexibility The Family Office is open to flexible scheduling arrangements that are mutually beneficial. For example, a candidate may work six days per week during a two-week travel period and then receive additional days off upon return.
