Facilities Manager
MalaceHR is seeking an experienced Facilities Manager to oversee the daily operations and maintenance of a corporate facility while serving as the primary point of contact for facility-related services. This leadership role is responsible for ensuring exceptional service delivery, managing vendor performance, maintaining budgets, supporting capital projects, and building strong relationships with internal stakeholders and clients.
The ideal candidate is a proactive facilities professional with strong leadership, communication, budgeting, and operational management experience who thrives in a fast-paced environment.
Key Responsibilities
- Serve as the primary point of contact for all facility management operations.
- Partner with Regional Leadership and Corporate Real Estate teams to deliver high-quality facility management services.
- Coordinate facility operations to ensure client and occupant satisfaction.
- Support the implementation of both short-term and long-term facility projects.
- Develop and implement programs, processes, and procedures that improve operational efficiency while reducing operating costs.
- Assist in developing and managing annual operating and capital budgets.
- Monitor expenses and prepare monthly, quarterly, and annual budget variance reports.
- Oversee facility financial performance and identify opportunities for cost savings.
- Assist in developing and executing annual facility management plans.
- Manage vendor relationships, contracts, and service delivery to ensure quality performance and compliance with service level agreements.
- Supervise vendor activities during normal business hours as well as evenings and weekends when necessary.
- Ensure preventative maintenance programs and work order systems are effectively managed.
- Utilize CMMS/work order systems to monitor maintenance activities, service requests, and performance metrics.
- Prepare operational reports and communicate facility performance to leadership and clients.
- Ensure compliance with company policies, safety regulations, and applicable building codes.
- Foster strong relationships with internal departments, vendors, and client stakeholders.
Qualifications
Required
- Minimum of 6 years of facilities management experience in a corporate environment, third-party service provider, or facilities consulting role.
- Demonstrated experience managing multiple facility operations and priorities.
- Strong leadership experience supervising technical and administrative personnel within a matrixed organization.
- Experience managing vendors, contractors, and service providers.
- Strong organizational, analytical, and problem-solving skills.
- Excellent verbal and written communication skills.
- Strong presentation and interpersonal skills.
- Proficiency with Microsoft Office Suite and Microsoft SharePoint.
- Experience using CMMS or computerized work order management systems.
- Ability to work flexible hours, including occasional evenings and weekends.
Preferred
- Bachelor's degree in Engineering, Facilities Management, Business, or a related field (or equivalent combination of education and experience).
