Position Overview
A privately held international company is seeking an experienced, highly discreet Executive Assistant to support its President.
This is a high-trust role requiring exceptional judgment, confidentiality, responsiveness, and follow-through. The ideal candidate is proactive, task-oriented, and able to anticipate needs without waiting for detailed instructions.
The Executive Assistant will manage the President’s schedule, communications, travel, priorities, and sensitive business matters while protecting his time, privacy, and professional interests.
Key Responsibilities
- Manage the President’s calendar, meetings, appointments, reminders, and priorities
- Coordinate domestic and international travel, transportation, and itineraries
- Track commitments, deadlines, action items, and follow-up
- Screen and prioritize calls, messages, meeting requests, and communications
- Prepare and organize correspondence, reports, presentations, and meeting materials
- Anticipate needs, identify issues, and resolve routine matters independently
- Coordinate with employees, executives, vendors, customers, and international colleagues
- Handle confidential business and limited personal matters with discretion
- Assist with local appointments, errands, and transportation throughout Miami
- Remain accessible and responsive by text throughout the business day
- Complete special projects and sensitive assignments with minimal supervision
Confidentiality and Professional Conduct
This position requires strict confidentiality.
The Executive Assistant will have access to private conversations, executive decisions, financial information, personnel matters, schedules, and other nonpublic information.
The successful candidate must:
- Maintain absolute discretion
- Share information only with authorized individuals
- Avoid workplace gossip, speculation, and internal politics
- Exercise sound judgment regarding confidential information
- Remain neutral and professional when exposed to sensitive matters
- Protect confidential information during and after employment
- Sign and comply with a confidentiality and nondisclosure agreement
Required Qualifications
- At least five years of Executive Assistant or senior administrative experience
- Experience supporting a CEO, President, founder, or business owner
- Excellent written and spoken English
- Strong organizational, communication, and time-management skills
- Exceptional attention to detail and follow-through
- Ability to anticipate needs and take initiative
- Professional appearance and executive-level presence
- Strong judgment, maturity, and emotional discipline
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with email, calendars, Microsoft Office, and business technology
- Valid driver’s license and reliable transportation
- Comfortable driving throughout Miami
- Ability to work in person and maintain schedule flexibility
Preferred Qualifications
- Experience supporting an international executive
- Experience in an owner-led or privately held company
- Experience coordinating international travel and communications across time zones
- Experience in manufacturing, distribution, sales, or another complex business environment
- Experience working within a clear chain-of-command structure

Reporting Relationship
This position reports directly to the President.
The Executive Assistant will coordinate with other departments and executives as needed, but the role’s primary responsibility and accountability remain with the President.
