What We Expect from You:
- Ensures timely collection of rent and other fees in accordance with lease agreement and company policies.
- Ensures all resident issues are handled promptly and appropriately.
- Ensures all applications and lease documentation is accurate and completed in a timely manner.
- Analyzes renewal expirations, loss to lease, and provides feedback to executive team to determine renewal options.
- Enforces and monitors lease renewal process in accordance with company follow up procedure.
- Prepares variance reports, leasing bonuses, and month end list.
- Understands controlled access systems in order to operate and maintain community access.
- Understands and operates company’s various software applications and property management software (YARDI).
- Manages maintenance work orders and cleaning schedule for customer service technician and porters. Monitors work order follow-up.
- Inspects property and ensures grounds and amenities are clean and up kept. Schedules work with maintenance or vendors as needed.
- Inspects apartments with maintenance supervisor to determine condition of units and needs for repair or replacement.
- Determines resident responsibility for damages, requests repair or replacement costs, and prepares deposit accounting worksheet.
- Creates purchase order requests for office supplies, maintenance supplies, appliances, and vendor estimate as needed. Approves invoices.
- Maintains Licenses/Permits. Follows through with annual inspections and coordinates corrective measures necessary to renew permits.
- Oversees leasing staff and their development. Motivates team by establishing leasing goals and ensures staff is properly trained.
- Maintains proper documentation of performance reviews and of any disciplinary actions taken.
- Conducts meetings to keep staff informed about property issues, company policies and office goals. Leads by example.
- Provide support to the Executive team to identify community goals and objectives.
- Other duties may be assigned as needed.
Requirements and Qualifications:
- 5+ years of experience managing 350+ unit market rate multifamily communities and their amenities.
- Must be able to interact and communicate with individuals at all levels of the company.
- Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks, demands, establishing priorities, following up and meeting deadlines.
- Work requires continual attention to detail in composing, typing and proofing materials.
- Excellent organizational and time management skills with the ability to multi-task and follow through.
- Bi-lingual (English/Spanish) a plus.
- Excellent verbal and written communication skills, strong administrative and organizational skills, effectively manage time and set priorities.
- Skill in the use of computers and computer systems (including hardware and software) to set up functions, enter data, and process information.
- Skill in using mathematics to solve basic problems.
- Skill in working independently and following through with assignments with minimal direction.
- Skill in adapting to a changing work environment, competing demands and ability to deal with frequent change, delays, or unexpected events.
- Intermediate level ability to operate a computer using Microsoft Office products (Word and Outlook) and learn to use applicable division and organization specific software.
- Ability to establish and maintain accurate records.
- Ability to regularly attend work and arrive punctually for designated work schedule with availability from 8am-7pm.
