Executive Assistant

- Executive Support: Provide high-level administrative support to the President & CEO; anticipate needs, prepare meeting materials, take precise meeting minutes, and brief the CEO on key topics.
- Travel & Calendar Management: Coordinate complex internal/external calendars and logistics. Manage detailed, end-to-end travel arrangements and portfolios, and travel with the President & CEO for business functions as needed.
- Office & Budget Operations: Oversee daily office functions (including opening/closing), maintain physical and digital filing systems, manage contact databases, and supervise office personnel, interns, and volunteers.
- Financial & Contract Administration: Track and process contracts for signature, and oversee budgetary items including purchase requisitions, check requests, inventory, and personnel action forms.
- Communications & Relationship Management: Manage incoming correspondence, phone calls, and emails with strict confidentiality. Draft error-free communications and deliver exceptional, sophisticated customer service to donors, staff, volunteers, and external stakeholders.
- Professional Excellence: Maintain regular attendance, think strategically, exercise sound judgment, and remain calm under pressure while taking direction from the President & CEO.
