Purchasing Coordinator
Position Summary
Life’s Abundance is seeking a detail-oriented, proactive, and team-focused Purchasing Coordinator to support inventory management, vendor relations, and supply chain operations across the organization. This role is responsible for helping maintain optimal inventory levels, product quality, and cost efficiency to ensure products are consistently available for our Field Representatives and their customers.
The Purchasing Coordinator works closely with vendors, logistics partners, warehouse teams, accounting, technology, and supply chain leadership to manage the full purchase order lifecycle, monitor inventory activity, and support daily operational needs in a fast-paced environment.
Monitor and maintain proper inventory levels across multiple company locations and warehouses.
Assist in managing, monitoring, and reporting on company inventory levels.
Ensure predetermined safety stock levels are maintained for all products and supplies.
Allocate and redistribute products between warehouses as needed.
Anticipate and proactively address inventory shortages, delays, or discrepancies.
Assist with inventory forecasting and replenishment activities.
Process and monitor purchase orders from creation through completion.
Track supplier fulfillment and ensure timely completion of purchase orders.
Coordinate order changes, backorders, and lead-time updates with vendors.
Maintain accurate purchasing and vendor records.
Assist with product assembly activities when needed.
Maintain and file purchasing documentation in compliance with FDA regulations and company policies.
Build and maintain strong vendor relationships based on trust, accountability, and adherence to vendor agreements.
Communicate consistently and professionally with vendors to achieve department objectives.
Resolve billing discrepancies, quantity variances, pricing issues, and vendor concerns.
Maintain vendor information according to company requirements.
Coordinate closely with the Vendor Relations Manager regarding vendor performance and agreements.
Serve as a liaison between vendors, logistics providers, warehouse teams, and internal departments.
Coordinate with carriers, trucking companies, and logistics partners to ensure timely pickups and deliveries.
Provide logistics support to warehouse managers, including:
Order confirmations
Estimated delivery dates (ETAs)
Order tracking
Backorder communication
Work proactively with logistics partners to minimize delays and disruptions.
Partner with accounting to resolve invoice discrepancies and vendor payment issues.
Collaborate with technology teams to support daily purchasing and inventory operations.
Act as an internal point of contact for vendor inquiries and purchasing-related matters.
Support departmental process improvements and operational efficiencies.'
Associate’s degree in Business, Supply Chain, Logistics, or related field preferred.
Minimum of 2 years of purchasing, inventory, logistics, or related experience preferred.
Proven experience as a Purchasing Coordinator or in a similar supply chain role.
Strong attention to detail and organizational skills.
Analytical mindset with curiosity and ability to interpret data.
Strong computer skills, including:
Microsoft Excel and/or Google Sheets
Formula writing and spreadsheet analysis
ERP systems such as Great Plains preferred
Excellent verbal and written communication skills.
Strong interpersonal and relationship-building abilities.
Negotiation and conflict-resolution skills.
Ability to manage multiple projects and priorities simultaneously.
Self-motivated and able to work independently with minimal supervision.
Positive attitude and ability to thrive in a fast-paced, team-oriented environment.
