Executive Personal Assistant to Miami high profile CEO

The Assistant Company has been retained by a high profile Miami business executive to find to an experienced reliable Executive Personal Assistant to work out of his Miami offices. No phone calls please.

- MUST HAVE PREVIOUS EXPERIENCE AS AN EXECUTIVE ASSISTANT TO A HIGH PROFILE OR HIGH NET WORTH INDIVIDUAL
- MUST HAVE A LEGAL OR STRONG BUSINESS BACKGROUND
- MUST BE ABLE TO START ASAP
- MUST BE ABLE TO WORK WEEKENDS

Position Summary:
You will perform a variety of tasks that require discretion and independent judgment in order to fully support this client's senior level executive. Your responsibilities will include considering, comparing, and evaluating different courses of action and then making a decision or recommending a decision on sufficiently important and consequential matters that go directly to the heart of business operations. This would include analyzing and maintaining confidential information such as performance evaluations, personnel documents, contracts, proprietary information and trade secrets. You will have access to email and social media accounts where you will be responding on behalf of Senior Executive.
You will also be required to communicate on behalf of Senior Executive and his liaison to organize and administer all aspects of the business when they are out of the office traveling. You will also be responsible for arranging travel and assisting with the production and execution of live events and training. This position requires someone with a strong business acumen or legal background. The successful candidate would be reviewing legal documents and respond to sensitive communications without much input. You should be highly experienced, fast paced and professional at all times, (appearance, written / verbal communication)
Essential Duties and Responsibilities:
- Experience with social media platforms (Twitter, Facebook, Instagram, etc.)
- Ability to delegate, prepare and compose content while working under pressure.
- Provides wide range of complex office support.
- Serves as principal contact and liaison with all employees/guest and external contacts.
- Manages complex calendars, arranges for meetings, appointments and travel arrangements.
- Coordinate communication and handle wide-range information dissemination.
- Maintain and support personnel records.
- Interprets and announces updates and event information to office team(s) as needed.
- Pro at maintaining calendar, conference calls, travel and all business functions.
- Ability to effectively anticipate needs.
- Maintain contact databases, social media and mailing lists with current updates.
- Contributes to unit effort by accomplishing related duties as required.
- Assist with recruitment by sourcing candidates.
Requirements:
- Legal Background preferred or strong business acumen
- Education and Experience:
- College degree preferred
- 5 plus years of experience an executive assistant
- Or combination of equivalent experience, education, and training
Skills:
- Proficient use of MS Office Products and Apple Devices
- Experience using Quicken application
- English speaking, writing, and reading comprehension; active listening; organization; coordination; and attention to detail
Working Conditions and Environment:
- Intermittently lift, carry, push, and pull up to 30 pounds
- Frequently see, sit, balance, grasp, and have repetitive use of arms, wrists, hands, and fingers
- Occasionally talk and hear
- Intermittently stand, stoop, bend, twist, crouch, kneel, crawl, walk, climb stairs and ladders, operate foot and hand controls, squeeze, and reach above shoulders
- Exposure to electrical equipment, low to medium noise levels, and indoor and outdoor temperatures of heat and cold
- Frequent use of computer
- Long or odd hours, as needed
Job Type: Full-time
Pay: $115,000.00 - $130,000.00 per year
