Sr. Leave Management Specialist ( {{city}})

Under the leadership and direction of the Benefit Manager, the Leave Program Specialist is responsible for administering and managing all aspects of the companys leave of absence programs, ensuring compliance with federal, state, and local laws, as well as company policies. This role serves as the primary point of contact for employees and managers regarding leave processes, providing guidance, support, and timely communication while maintaining strict confidentiality.

Essential Duties and Responsibilities

Leave Administration

  • Process and track employee leave requests, including FMLA, ADA, state-mandated, parental, military, bereavement, and other leaves.
  • Review documentation for accuracy and completeness; issue required notices to employees.
  • Maintain accurate leave records in HRIS and/or leave management systems.
  • Monitor return-to-work dates and coordinate workplace accommodations when needed.

Compliance & Policy Adherence

  • Ensure leave programs are administered in compliance with federal, state, and local regulations, as well as company policies.
  • Stay informed about changes in laws affecting leave administration and recommend updates to policies.
  • Prepare and distribute legally required communications, such as FMLA notices and ADA letters.

Employee & Manager Support

  • Serve as the primary resource for leave-related inquiries from employees and managers.
  • Explain eligibility, documentation requirements, and pay/benefit impacts during leave.
  • Provide training and resources to managers on leave procedures and responsibilities.

Coordination with Other Departments

  • Work closely with HR, payroll, benefits, and safety teams to ensure accurate pay, benefits continuation, and compliance during leave.
  • Coordinate with third-party administrators, insurance carriers, and healthcare providers when applicable.

Knowledge, Skills and Attributes

  • In-depth understanding of FMLA, ADA, state-specific leave laws, and related employment regulations.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency with HRIS, leave management systems, and Microsoft Office Suite.
  • Ability to maintain confidentiality and handle sensitive information.

Education and/or Experience. This position typically is a mid-level career.

  • Associates or Bachelors degree in Human Resources, Business Administration, or related field preferred.
  • 3+ years of experience in leave administration, benefits coordination, or HR operations.

Physical Demands. The following physical demands are representative of those that must be met by an Office Clerk, to successfully perform the essential functions of this job.

  • Frequent ability to sit for prolonged periods of time;
  • Ability to drive a company vehicle for various recruiting events.
  • Frequent ability to talk and hear, both in person and by telephone;
  • Frequent ability to operate standard office equipment, using hand and arm dexterity;
  • Frequent ability to navigate through office environment, including periodic use of stairs and/or elevator, as needed;
  • Infrequent ability to lift general office documents and materials, up to 10 pounds;
  • Frequent vision abilities required by this job include close vision, distance vision, depth perception, color vision, and the ability to adjust focus.

Work Environment. The work environment characteristics described below are representative of those that an Office Clerk encounters while performing the essential functions of this job.

  • Work generally is performed in an office environment, although periodic visits to construction sites and manufacturing facilities may be required.
  • Noise level in the typical office work environment is quiet.
