SGN Administrative Assistant

Job Overview: Provides administrative assistance to the department, by performing the following duties. Essential Duties and Responsibilities include the following. Other duties may be assigned. - Coordinate Department meetings and follow up.
- Prepare agendas and schedules for meetings.
- Maintain Department & Director office calendar up to date.
- Receive and respond to all incoming trip requests.
- Gather information of Ephesians SGN Ministerial trips.
- Manage & coordinate flights of all SGN Trips.
- Revise submissions and applications for applicant pastors.
- Research & collet data for applicant's pastors.
- Revise and distribute contractual referrals from other pastors.
- Respond email inquiries of applicants.
- Monitor SGN pastors' satisfaction through follows up on solving their administrative issues and problems.
- Provide information by answering general department inquiries.
- Compose letters, proofread, translate, and edit department material.
- Draft & email monthly newsletter to SGN leaders.
- Manage department's email platform (Mailchimp).
- Collaborate with marketing team to design presentations, brochures, booklets, banners & other marketing material for department.
- Collaborate with Events department to coordinate and plan for SGN hosted events during conferences.
- Communicate instructions given by pastoral office or other departments to all SGN pastors involved.
- Update SGN pastors' information in database (google, Highrise, portal).
- Schedules and coordinates visiting SGN member vision training and deliverances.
- Meet and greet visitors interested in applying to SGN.
- Prepares room #1 during events to host and welcomes SGN pastors.
- Responsible for registration & credentials of SGN leaders during an event.
- Provide instructions & guidance to new SGN Leaders during ordinations.
- Prepares training material for SGN leaders.
- Uses word processing, spreadsheets, and presentation software.
- Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
- Communicate and disseminate information to ministers/elders and departments as required.
- Uses word processing, spreadsheets, and presentation software.
- Perform special department tasks/projects as needed.
- Assist in room set up and pick up after meetings & other events (SMS, CAP).
- Assist in maintaining closets organized and inventory.
- Duties also include fielding telephone calls, filing, data entry and others as assigned.

Solid communication skills, as well as sensitivity to confidential matters. must maintain high-level professional communication skills and demonstrate a working knowledge of all systems used by the covering pastors. Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Computer Skills: To perform this job successfully, an individual should have knowledge of Word processing software. Strong computer skills required as well as a strong understanding of the technical equipment that supports activities such as ID machine, scanners, etc. Work Environment: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Education and/or Experience: Associate degree (A. A.) or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
