IT Project Coordinator

Reports To: Project Manager / VP of Operations

Job Overview: We’re looking for a motivated and organized IT Project Coordinator to join our team. In this role, you’ll be working within a fast-paced MSP environment. Responsibilities include coordinating resources, scheduling activities, and facilitating communication between internal teams, vendors, and clients. The ideal candidate is detail-oriented, process-driven, and comfortable managing multiple projects simultaneously in a dynamic, customer-focused environment.
Key Responsibilities
Project Coordination:
· Support the Project Manager in planning, execution, and closure of IT infrastructure and application deployment projects.
· Develop and maintain project schedules using tools such as ConnectWise Manage, Microsoft Project, or equivalent.
· Coordinate internal resources (engineers, help desk, procurement, and cross-functional teams)
Client Communication:
· Serve as a point of contact for clients during active projects.
· Ensure timely communication of project updates, milestones, and changes in scope.
· Schedule and participate in client meetings, take notes, and track action items.
Documentation & Tracking:
· Maintain accurate project documentation including SOWs, project plans, risk logs, and status reports.
· Track project hours, budgets, and billing
· Facilitate project closeout documentation and client handoff to support.
Process & Compliance:
· Ensure adherence to MSP project delivery standards, templates, and documentation best practices.
· Support process improvements to increase efficiency and standardization across recurring projects
Qualifications
Education & Experience:
· Associate or Bachelor’s degree in Business, Information Technology, or related field preferred.
· 2+ years of experience coordinating IT projects, preferably within an MSP or IT services environment.
Technical Knowledge:
· Familiarity with IT hardware, networks, servers, common cloud platforms (such as Microsoft 365 or Azure), and basic cybersecurity concepts.
· Familiarity with ticketing/PSA tools (e.g., ConnectWise)
Skills:
· Strong organizational and time management skills with attention to detail.
· Excellent written and verbal communication.
· Ability to multi-task and manage competing priorities.
· Capable of translating technical information into customer-friendly language.
· Eagerness to learn and take initiative
