Construction Office Clerk

Experience in accounts payable processes for construction industry and familiarity with accounting software and tools for processing payments is essential. Strong collaboration ability to implement operational efficiencies and profitability of projects through detailed processes are vital to the success of this position. We currently have an opportunity for a dynamic individual to join our team with previous construction accounting experience. Primary Functions& Job Specific Responsibilities: Office Responsibilities: 1.Provide high level of administrative support for overall office operations and staff 2.Upkeep of supply inventory, office equipment, and electronic and hard copy filing records 3.Work closely across all departments, gather information and provide progress updates to management 4.Handle all calls and email communications for staff and clients with a sense of urgency 5.Liaise with cleaning staff-for weekly cleaning 6.Maintain staff birthday list and coordinate company wide greeting Payables: 1.Receive and enter in QuickBooks all invoices that are approved for payment by Ivey Design-Operational Administrator 2.Prepare checks pert he check printing schedule 3.Prepare partial and final releases previously deliver payments to vendor/subcontractors and file 4.File paid invoices to each vendor folder 5.Prepare and process approved employee reimbursement requests 6.Review Monday app for contract needed for subcontractors, form estimate,create contracts,send docusign, follow up, request invoice and COI's 7.Upload invoice and COI's to Monday and inform Project Coordinator and Operational Administrator for payment approval. 8.Preapprove small purchases for projects with operations through Monday 9.Scanning, copying, organizing, and filing as required Credit Cards: 1.Review and categorize all credit card transactions for Ivey Design and Ivey Punch on a weekly basis 2.Request and follow up the supporting documentation for all purchases paid by credit card 3.Review statements and pay SunPass invoice on a monthly basis 4.Reconcile Ivey Design and Ivey Punch Amex credit cards Permits and Insurancesfor IVEY DB, Ivey Punch and Development: 1.Obtain, review and update all insurances from subcontractors and ours for the city and Building management for projects for IVEY DB, Ivey Punch and Development. 2.Manage all permit requirements for new permits,revision processes,until CO is obtained. 3.Be the point of contact between office, architects and Expeditors. 4.Responsible to record with clerk of courts all documents needed (NTO, NOC,LIENS) 5.Monitor the progress of permit applications,payments and comments.6.Keep all stakeholders informed about the permit status 7.Work closely with Project coordinators to guarantee inspections for all projects are in place.8.Maintain an organized filing system for all permit-related documents, including applications,approvals,denials, and any other relevant correspondence.9.Identify areas for process improvement within the permitting to improve overall efficiency. ATTO: 1.Download ATTO time spreadsheet and enter hours in QB to pay helpers on a weekly basis Job Qualifications and Requirements 1.Education: Associates degree in Accounting, preferred 2.Experience:1-2 years of related experience using QuickBooks; or equivalent combination of education and experience 3.Very good knowledge of English (spoken and written) 4.Excellent verbal and written communication skills 5.Time management 6.Excellent judgment and decision making 7.Bilingual preferred Company Benefits
