Job Summary:

The Marina Officer Manager oversees the administration of the Marina operations to ensure excellent service is provided to Boaters/Visitors. Reporting to the General Manager, he/she will be assigned with administrative tasks and responsibilities that help to run the operations and ensures proper communication with the Boaters/Guests/Visitors. He/she is the liaison with Corporate Accounting and work closely with POS , rent rolls , slip reservation systems , daily financial reports, invoicing/billing. Assists with guest relations, handles Boater inquiries , handle new reservations, ensure proper usage of slips and manages the slip dockage usage to maximize revenue, answers incoming calls, and handles the ship store (if applicable) and mail room storage.

The “Dream work is in the Team work!” As a Marina team member, you will be cross trained to perform a variety of tasks across our Marina operations. Being flexible and open to “pitching in” is an essential function of being part of the team! Most marina team members are multi-functional and perform many varied tasks. Especially during emergencies, (storms, floods, etc.) or peak boating times, team members will be called upon to work together and perform functions that may be in addition to their normal job duties. “That’s not my Job”, is not within our Marina operations vocabulary. The more well-rounded the team member, the more opportunities to grow and be considered for future opportunities!

Roles & Responsibilities:

• Handles all guest /boater inquiries whether over phone or in person in an efficient , hospitable and friendly manner.

• Provides tours to potential Boaters and provides information about membership types and benefits.

• Provides timely and accurate assistance with processing and confirming all components of the monthly financial statement to ensure a timely month end close\

• Ensure complete and timely processing of all end of day procedures

• Assists with and tackles any assigned special “ad hoc” projects

• Oversees the processing and reconciling of daily deposits (ACH, cash, credit card, and checks)

• Runs daily reports for GM or Regional/ Chief of Operations such as: AR/Delinquency Report, Reservations, and maintains /enters data

• Ensures all invoices are accurately coded and submitted for timely processing and recording.

• Assists in maintaining accurate financial and marina information to assist with the property forecasting process.

• Monitors accounts receivable and ensures all accounts receivable accounts are current while performing necessary collection procedures to maintain a current status on all slip accounts.

• Works with Human Resources to serve as the liaison to ensure employees have ADP access for the purpose of managing time record keeping, onboarding and benefit enrollment, when applicable.

• Ensures adherence to departmental and/or Operations policies, procedures, and practices

• Assists with the tracking, updating, and collection of all contracts, insurance, and registrations, as requested

• Ensures the rent roll reports are accurate and assists with updates and liaise with Accounting for accuracy for invoicing and collection of payment.

• Works with vendors as needed to order property supplies, retail items, materials, and uniforms, as requested

• Reviews all new slip storage and boat club contracts, as applicable, for accuracy and billing

• Maintains responsibility for all inventory including inputting, quarterly inventory counts, inventory adjustments, and adding inventory

All other duties perform all other duties as assigned, including carrying out responsibilities, performing duties, using skills, and working in conditions necessary to perform all assigned tasks.

Education and Experience:

• 2-year college degree or 4 year degree in business/accounting or related field is preferred

• 5 years business management/office management experience in retail, customer service or related industry

• Marina/boating experience preferred.

• Point of Sales systems and computer savvy and ability to use various software platforms.

Required Skills/Abilities:

• Must possess a valid DL and current auto insurance; must pass insurance DMV clearance

  • Excellent verbal and written communication skills- English proficiency and bi-lingual a plus or highly desirable

• Strong interpersonal and customer service skills.

• Sales and customer service skills.

• Ability to work in a fast paced environment and strong attention to detail

• Organizational skills to multi task various projects, systems and processes.

• Excellent time management skills with a proven ability to meet deadlines.

• Strong problem-solving skills.

• Ability to prioritize tasks and to delegate them when appropriate.

• Proficient with Microsoft Office Suite , Word, Outlook, Excel

• Working knowledge of Point of Sales Systems

• Must be able to work independently.

• Some management/supervisory skills.

Physical Requirements:

• Work is done primarily in an office setting and well-ventilated environment

• May need to occasionally lift up to 20 lbs

• Must be able to sit for long period of time in front of a computer /monitor.

• Use of a telephone system with multiple lines

• May work outdoors walking, bending, stooping to help boaters or gather mail , etc

• When outside may be subject to inclement weather conditions

Work Schedule:

Marinas are open seven days a week typically from morning to sunset. We strive to provide flexibility, whenever possible, and at the same time we must be able to maintain adequate staffing to meet the needs of our guests. Please note that working full or partial weekends is required.
