Business Office Manager
Position Summary
We are seeking a highly organized, detail-oriented, and revenue-driven Business Office Manager to oversee the financial and administrative operations of our assisted living and memory care community.
This position plays a critical role in accounts receivable, billing accuracy, Medicaid coordination, and cash flow management. The ideal candidate is confident in collections, proactive in problem-solving, and comfortable working closely with families, corporate leadership, and regulatory requirements.
Key Responsibilities
Accounts Receivable & Billing
Manage monthly rent billing for private pay and Medicaid residents
Post payments accurately and reconcile resident ledgers
Process ACH, credit card, and trust payments
Monitor aging reports and aggressively follow up on outstanding balances
Implement and track payment plans and promissory notes
Ensure late fees are applied consistently per policy
Medicaid & Insurance Coordination
Assist with Medicaid conversion tracking
Verify eligibility and authorization documentation
Communicate with case managers and POAs
Ensure proper documentation is collected and maintained
Financial & Administrative Duties
Maintain accurate resident financial files
Prepare financial reports as requested by corporate
Code and track invoices
Assist with budget monitoring
Support audit and compliance documentation
HR & Office Support
Maintain employee files and onboarding paperwork
Support payroll coordination and timecard review
Ensure required postings and documentation are current
Customer Service & Communication
Serve as primary contact for billing questions
Communicate clearly and professionally with residents and families
