Position Description
POSITION TITLE: Office Medical Assistant/Oiffce Support
PURPOSE: Performing functions such as, interviewing patients in the office, transcribing office notes, scheduling
surgical procedures, obtaining surgery authorizations, ordering medical supplies.
IMMEDIATE SUPERVISOR: Physician
PRINCIPLE DUTIES AND RESPONSIBILITIES:
1. Assisting surgery scheduling to include patient communications, consents and arrangements, creating
post of Rx’s for physician’s approval, scheduling surgery at surgery center facility, working with vendors
such as DME to order post op walker and other surgical support staff
2. Obtaining surgical prior authorizations with insurance carriers for physician and facility approvals and
enter/attach authorization in ECW
3. Working with other physician offices such as primary care and other specialty offices in order to
effectively synchronize patient surgical care for pre op, to include PCP communications to set up pre op
labs, EKG, Chest x-rays etc
4. Interviewing patients and assisting the physician in the office with patients’ care, lab results, e -
prescriptions etc
5. Answering phone calls to make appointments, take messages, create Rx per patient’s request to forward
for physician approval, etc
6. Check ECW fax log throughout daily in order to attach patient documents, print payments for billing,
assign documents to appropriate employee, etc
7. Maintaining policy and procedures manuals to include access and controls of all Electronic Protected
Health Information (ePHI)
8. Transcribing office notes after reviewing clinical, medication and any other patient examination and
history information with the physician, including MIPS workflows
9. Call new patient referrals daily to make appointments after screening performed to establish patient care
needed
10. Perform projects and related work as required
MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
1. Minimum of 5 years physical medical office experience
2. Extensive knowledge and understanding of internal office procedures and protocols
3. Ability to identify problems and initiate action for effective resolutions
4. Ability to manage and communicate effectively with employees, physicians and other management in the
most professional way
5. Comprehensive knowledge of medical terminology and surgical procedures and codes
6. Awareness of Electronic Protected Health Information (ePHI) point of contact duties to include training of
logins, system history and securing the facilities plan and safeguards
7. Must be organized, flexible and versatile with the ability to function effectively in stressful situations
8. Knowledge of medical terminology
