Catering Coordinator
Event/Catering Coordinator
Objective:
- Administrative support to the Catering and Banquet Department.
- Answer all incoming telephone calls within three (3) rings.
- Ask appropriate qualifying questions to determine the salesperson, which should receive the sales inquiry.
- Type proposals, Banquet Event Orders, and correspondence received from the Catering staff within one day of receipt.
- Prepare and distribute the Weekly Cover Sheet and BEO packet.
- Sells events such as weddings, local groups, and wedding chapel events.
- Highlight/Asterisk the groups on the Weekly Cover Sheet that are missing and record the group itinerary and status of the event (tentative or definite).
- Deliver any changes or pop-ups for the following day to the appropriate departments.
- Prepare and distribute the Daily Function Sheet to all departments.
- Prepare door cards and reader board monitor.
- Collect the 72-hour guarantees from the appropriate Catering Sales Managers and Issue the 72-hour guarantee sheet by 2:00 PM each day.
- Distribute the following 72-hour guarantee sheet the following days.
- Assist in making the Catering Office as efficient as possible.
- Performs related duties or projects as assigned by the management.

Physical Demands:
- While performing the duties of this job, the employee is frequently required to stand, walk, talk and hear.
- The employee is occasionally required to sit; reach with hands and arms; climb or balance, and stoop, kneel, stand and/or walk for long periods of time
- The employee must occasionally lift and/or move up to 50 pounds.
Communication:
- Excellent verbal and good written skills required.
- Extra language knowledge is a plus but not required.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations depending on the groups and clientele.
- Basic Computer Skills.
- Ability to learn Marriott Catering, Sales, and PMS systems.
- Ability to use Microsoft Office programs.
