Executive Assistant to the Owner Location Pensacola, FL : Executive Assistant to the Owner : The Ice Flyers are currently looking for a highly-motivated, professional and organized Executive Assistant to the team owner that can handle a high-paced work environment and high-level contacts, information and responsibilities. Responsibilities:
  • Provide comprehensive support to the team owner
  • Effectively aid in the development and execution of the owner's overall strategic plan for the organization
  • Work closely with the owner to keep him well informed of upcoming commitments, responsibilities and deadlines
  • Provide hospitality to all guests of the owner while they visit the office, attend games and at community events
  • Anticipate future needs of the owner and of the organization as it grows
  • Handle sensitive information and situations with the highest level of confidentiality and professionalism
  • Manage aspects of the organization's office services while evaluating and assisting in developing office policies and procedures for improved work flow
  • Work with the owner to coordinate his community outreach activities and responsibilities
  • Professionally represent the owner at community events with which he is involved also while at home games
  • Provide support with tasks, responsibilities and documentation of the foundation
  • Demonstrate high-level follow up with current contacts of the owner and new contacts made by the owner to cultivate ongoing relationships
  • Calendar management and coordinate meetings, conference calls, travel arrangements and expense reconciliation
  • Serve as the owner's primary point of contact both internally and externally
  • Management of the owner's calendar
  • Coordinate meetings with staff, corporate partners, community members and other organizations
  • Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organization
  • Aid in the strategic approach and creation of proposals for corporate sponsorships
  • Correspond with corporate partners and assist in the fulfillment of sponsorship contracts
  • Conserve the owner's time by reading, researching, collecting and analyzing information as needed, in advance
  • Help plan and host special events for the owner and the organization
  • Enter and organize invoices, receipts and checks
  • Assist in the preparation of accounting documents
  • Provide support for personal tasks of the owner from time to time
  • Prepare, edit and finalize organization documents and correspondence
  • Establish positive and efficient working relationships with employees at all levels
  • Perform other duties and responsibilities as assigned
Qualifications:
  • Bachelor's degree required, business-related degree preferred
  • Significant executive support experience
  • Exceptional organizational skills and impeccable attention to detail.
  • Excellent communicator with a high degree of professionalism in dealing and interacting with a diverse group of contacts, businesses, community members and organizations
  • Commitment to excellence at to perform duties at the highest level possible on a consistent basis.
  • Make appropriate, informed decisions regarding priorities and available time.
  • Demonstrate strategic thinking skills and personal accountability
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Expert proficiency with Microsoft Office and the ability to design and edit graphic presentations and materials.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Excellent judgment is essential.
  • Ability to switch gears at a moment's notice.
  • Possess a professional, courteous and positive attitude to represent the team owner
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Excellent writing, communication and interpersonal skills
  • Coachable and eager to learn
  • Experience in QuickBooks and knowledge of basic accounting
  • Reliable transportation is essential
Compensation:
  • Salaried, full-time position
  • Available medical benefits include major medical, telehealth, dental and vision
