Sales & Proposal Coordinator

Location: Tampa, FL
Pay Rate: $18.00 - $20.00 per hour
Schedule: Full-Time, Monday-Friday

Position Overview

We are seeking a highly organized and detail-oriented Sales & Proposal Coordinator to support our sales, estimating, and project management teams. This role is ideal for someone who thrives in a fast-paced environment, has strong administrative skills, and enjoys working closely with both internal teams and external clients.

The ideal candidate will have experience in construction administration, proposal coordination, bid preparation, or sales support and possess a strong sense of urgency, accuracy, and customer service.

Responsibilities

• Prepare and coordinate bid and proposal packages, ensuring timely and accurate submissions
• Complete and submit pre-qualification packages, vendor applications, and bid-related documentation
• Maintain and update bid tracking information within the CRM system
• Assist with incoming phone calls and customer inquiries
• Order bid bonds and gather required supporting documentation
• Maintain project reference lists and proposal resources
• Respond promptly to emails, voicemails, and client requests
• Generate and distribute weekly sales and project reports
• Assist with RFP responses and ensure all information is complete and accurate
• Review project specifications and bid requirements to ensure all necessary information is obtained
• Support the sales and project management teams with administrative tasks as needed
• Maintain accurate client and project information within company systems

Qualifications

• High School Diploma required
• Associate's or Bachelor's Degree preferred
• 4+ years of administrative, sales support, proposal coordination, or business development experience
• Construction industry experience required
• Strong attention to detail and organizational skills
• Ability to manage multiple priorities and meet deadlines
• Excellent written and verbal communication skills
• Proficient in Microsoft Office Suite, including Word, Excel, and Outlook
• Experience working with CRM systems is a plus
