Construction Service Coordinator

- Pay Rate: $28.00/hour - $32.00/hour (based on experience)

- Experience: High School diploma required; 1–2 years of administrative experience is necessary.
- Preferred Industry Background: Experience in property management, construction, or service/warranty coordination is highly preferred.
- Technical Skills: Proficiency in Microsoft Office is required. Experience with construction software such as Procore, ComputerEase, or Pro-Log is a major plus.
- Soft Skills: phone presence, excellent organizational skills, a sense of urgency, and the ability to multitask effectively.
- Physical Demands: Must be comfortable working in an open office layout with a moderate noise level , and occasionally lifting/moving up to 25 pounds.

education: High School Responsibilities In this role, you will provide comprehensive administrative support to the Service Department, ensuring all service calls, warranty work, and small projects are coordinated efficiently.
- Dispatching & Coordination: Coordinate service calls between subcontractors, technicians, owners, and management. Maintain and update the technicians' and carpenters' daily schedules via email.
- Service Tracking: Keep service logs, work order (WO) statuses, vendor information, and client contact sheets continually updated in systems like Procore and ComputerEase.
- Billing & Accounting Support: Process subcontractor invoices, code them for payment, check subcontractor compliance (Workers' Comp/Liability), and prepare estimated weekly check runs. Process A/R invoices and manage monthly bill coding (e.g., Home Depot statements).
- Collections & Follow-Up: Print monthly statements and conduct polite collection calls on invoices past 30 days. Heavily follow up on emails and phone calls to expedite pending work orders.
- Customer Relations: Act as a primary point of contact for clients, ensuring they feel confident that their service and warranty needs are being handled in a timely and efficient manner.
- Reporting: Provide weekly updates on open service items to the Service Manager and Executive Management.
