Full-time SES Position

Salary: $45,000 - $55,000

Your Specific Responsibilities:

This is an administrative position assisting the Director of Medical and Health Services. The employee provides administrative support, processes travel authorization, researches and gathers data, prepares draft reports and correspondence, recommends and implements operational administrative systems, and interprets policy in order to provide guidance and assistance to further the achievement of the goals.

  • Handles correspondence, telephone and e-mail communication.

  • Accurately routes correspondence in a timely manner.

  • Initiates use of approved templates for routine correspondence.

  • Provides draft and approved routine reports as assigned.

  • Provides initial draft correspondence as requested.

  • Maintains calendars and schedules for management staff.

  • Prepares meeting agendas and minutes as assigned.

  • Processes travel reimbursements and authorizations via the State Travel Management System as needed.

  • Maintains an assignment tracker for staff assignments. Uses independent judgement to make routine assignments to staff.

  • Assists in responding in an accurate and timely manner to all assignments and deadlines.

  • Assists staff with the preparation of website content, PowerPoint presentations, and technical work; performs special assignments, research; assists and supports projects, contracts, regular or annual staff meetings, and special functions.

  • Reviews written materials and recommends solutions or courses of action.

  • Represents supervisor at meetings to furnish or obtain information.

  • Provide technical assistance to ensure applications are processed accordingly to include assisting with clearing application issues, troubleshooting the application module, and completing application reviews as needed.

  • Assist with legislative requests and inquiries received as needed.

  • Other duties as assigned.

Required Knowledge, Skills, and Abilities:

Knowledge, skills and abilities, including utilization of equipment, required for the position: Proficient computer skills to include Word, Excel, PowerPoint and Outlook; knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar; communicating effectively with others in writing; talking to others to effectively convey information; understanding written sentences and paragraphs in work related documents; knowledge of office procedures and practices; ability to prepare correspondence and administrative reports; ability to plan, organize and coordinate work assignments.

Qualifications:

  • High school diploma or equivalent; AND

  • 5 years administrative experience to include processing travel authorization, researching and gathering data, preparing reports and correspondence, answering phones and scheduling meetings.

  • College education can substitute for the required experience on a year-for-year basis.

  • Must have a valid Driver's license, satisfactorily complete a background investigation, fingerprinting, and participation in direct deposit are requirements for employment.
