Personal Assistant (PT)

Petit Psychiatry seeks an experienced Personal Assistant responsible for providing administrative and secretarial support services to the CEO and Office Manager. The Personal Assistant will be responsible for managing the day-to-day tasks of the clinic, including patient scheduling, record keeping, data entry, and correspondence. Responsibilities and Duties: - Flexible with availability. Can work up to 15 hours per week (depending on the need).
- Calendar Management (scheduling appointments, coordinating meetings, and arranging travel as needed)
- Answer phones and direct calls to appropriate staff members
- Greet patients and assist with check-in procedures
- Maintain and update patient records, ensuring that they are accurate and up-to-date
- Handle patient inquiries and schedule follow-up appointments as necessary
- Prepare and distribute correspondence, reports, and other documents as directed
- Create and maintain filing systems, both electronic and paper-based, to ensure efficient record keeping
- Submit and reconcile expense reports
- Personal tasks include but are not limited to household organization, meal prep, running errands, organizing bills, and transporting children to school.
- Other duties as assigned
Qualifications: - High school degree
- PA diploma or certification would be considered an advantage.
- Previous experience in a medical setting or as an administrative assistant preferred
- Knowledge of medical terminology and HIPAA regulations preferred
- Excellent communication and interpersonal skills
- Strong organizational and time management skills
- Ability to multitask and prioritize tasks effectively
- Proficiency in Microsoft Office suite and electronic medical records systems
