Warehouse Administrative Assistant

Hollywood, FL
We are seeking a high-trust Warehouse Administrative Assistant to provide mission-critical support to the leadership team of a global logistics company. This role is designed for a self-starter capable of managing confidential information and coordinating complex logistics operations in a fast-paced warehouse environment. Responsibilities

Key Responsibilities:

  • Logistics Coordination: Manage documentation for domestic and international shipments, coordinate with freight forwarders/carriers, and track transit status to resolve any bottlenecks.

  • Executive Support: Manage calendars, prioritize professional communications, and prepare agendas/minutes for logistics-related meetings.

  • Data & Reporting: Maintain records, SOPs, and contracts; prepare reports related to inventory, transportation, and warehouse activities.

  • Project Tracking: Proactively follow up on open items with stakeholders to keep projects and shipments on schedule.

  • Confidentiality: Handle sensitive HR, business, and financial data with the highest level of integrity and discretion.

Top Requirements:

  • Experience: 2+ years in an administrative role, specifically within logistics, warehousing, or transportation.

  • Technical Skills: Advanced proficiency in Google Workspace/Microsoft 365 and Mac OS; experience with WMS or carrier portals is a plus.

  • Communication: Exceptional written and verbal skills to act as a primary point of contact for vendors and internal teams.

  • Mindset: A "self-starter" mentality with the ability to exercise sound judgment in a busy warehouse-office setting.
