Salary Range: $21.00-$23.00, D.O.Q.
Summary:
Receive customers at reception area, forward callers and directs customers to appropriate destination, processes mail, accepts deliveries, maintains the City's telephone and government contact directory with up to date information, orders office supplies, schedules conference rooms for staff, makes updates to the City website, assists with processing public records requests, and assists with other items as requested.
Essential Duties and Responsibilities:
Greet guests and visitors to City Hall and directs inquiries to the proper departments, receives all incoming calls to the City switchboard and directs calls to the proper person or takes messages as appropriate; distributes messages and processes incoming and outgoing mail.
Faxing, copying, scanning and distribution of City documents, keep updated contact listings.
Notary duties for City documents, coordinate scheduling of conference rooms.
Accepts deliveries for all departments ensuring all items are received.
Orders office supplies and cleaning/janitorial supplies.
Assists with bank deposits.
Will assist other Departments as needed with Administrative duties.
Performs other related duties as assigned.
Education and/or Experience:
High school diploma or general education degree (GED) and one year of progressively responsible clerical, receptionist, cashiering, or closely related work experience.
Language Skills:
Must have the ability to read and comprehend simple instructions, short correspondence and memoranda. Able to write simple correspondence, good communications skills that can effectively present information in one-on-one and small group situations to customers and other employees of the organization.
Other Skills and Abilities:
Ability to work with computers including various software which includes spreadsheets, word processing, graphics, accounting and other similar software. Must have the ability to deal with the public in a courteous manner and to maintain confidentiality. Have the ability to operate ten-key calculator. Have the ability to multi-task.
Valid Florida Driver's License required.
