Accountant
Position Description:
Individuals in this position are responsible for assisting in completing the agency’s accounting functions along with various other duties. Individuals hired for this position may not have all the requisite skills to perform all duties. However, the incumbent will be provided training during their tenure to learn most if not all the requisite skills.
Monthly Grant Invoicing:
- Assigned to various invoicing responsibilities to include but not limited to: Food Service Contract, all County and Sheriff contracts and awarded Federal/State grants.
- Identify issues within Credible and notify departments if corrections are needed before invoicing is created.
- Prepare monthly assigned contract invoicing for CFO/Finance Director approval and signature.
- Compiles financial data to aid more senior accountants in the preparation of balance sheets, profit and loss statements and other financial reports.
Accounts Payable:
- Assist A/P with coding, entry, and preparing payments.
- Assist with reconciling invoices for payment.
- Assist with getting payments and backup documentation filed and scanned.
Accounts Receivable:
- Assist A/R with coding, posting, and applying payments into multiple systems.
- Assist with inputting person served services such as drug screens and medications.
- Applying payments will also involve posting contractual payments in Credible E.H.R. software.
- Processing monthly statements will also involve assisting with adjusting “self-pay” aging transactions.
- Assist with training and education of front-office staff for receiving payments from persons served.
Journal Entries:
- Assists in maintaining financial records and ensuring that financial transactions are properly recorded.
- Ensures the accuracy of entries to ledger accounts and reconciles subsidiary ledger accounts to the general ledger.
All Bank Deposits:
- Deposit Receivables through Check scanner – South State Bank print deposits slips for each deposit.
- Check that other users’ deposits have been submitted – contact them if not.
- Maintain check scanner equipment.
Bank Reconciliation:
- Assist with monthly bank account reconciliations for multiple accounts.
- Ensure that the other software systems have been updated with necessary correcting entries.
- Ensure that all paperwork is in order for the outside auditors at year end.
- Assists in the development of assigned Financial Statements
TCHS Physical Inventory Management:
- Assist in all inventory planning and control activities, report to CFO and AP with issues or planning strategies.
- Track and monitor items per department/maintain list in Paylocity and Excel software
- Reconcile inventory records for an accurate count. Responsible for tracking expense items and redirect out of active item list when necessary.
End of Year Data Entry:
- Assist with the close out process.
- Uncashed check report (South State Bank only).
- Assist with outside auditors for information needed to complete annual audit.
- Budget Preparation
- Assist in the preparation of creating budgets as needed for new contracts and annual agency budget as assigned by supervision.
New Projects:
- Assists in maintaining the projects plan, maintain and update project reporting through email and meetings.
- Assist in the establishment of standards, tools, and procedures for use on the project. Coordinate the process to identify areas for potential improvement.
- Prepare project documentation under supervision.
- Maintain assigned projects based on specific job requirements.
Minimum Training and Experience:
- Graduation with a bachelor’s degree is preferred, graduation from an accredited two-year college or university and 2 years of accounting experience or four years’ experience in accounting which would include participating in audits, accounts receivable, accounts payable, general ledger and month-end closing in an automated environment. Duties will be assigned based on credentials and related experience. Work is closely managed.
