Accounts Payable Analyst

A. Duda & Sons, Inc. has an opening for an hourly paid Accounts Payable Analyst at the corporate office in Oviedo, FL.

The Accounts Payable Analyst will work as part of the Accounts Payable team, assisting the AP Manager in finding errors in the AP process and correcting them, assists with training as needed, research issues with accounts payable transactions and generates a journal to correct. Assist with vendor statement reconciliation, and bank statement reconciliation. The Accounts Payable Analyst must be able to communicate well with vendors and internal personnel as well as team members. As needed the AP Analyst is backup for all jobs from Assistant I-III and participates in implementation of new processes. The Accounts Payable Analyst will work closely with other team members and as such is expected to be punctual and in attendance daily with the exception of planned time off. This role requires independent analytical thinking and the ability to escalate specific questions to the appropriate role. Work hours are in office Monday through Friday from 8 am to 5 pm (generally.) Overtime may be required.

The Accounts Payable Analyst duties include the following:

• Communicate effectively with vendors, internal personnel, and team members.
• Review and approve vendor invoices in our systems, review purchase orders for appropriate documentation and post for payment.
• Reconciles complex vendor statements, notifying the locations of outstanding invoices, and bringing any discrepancies to the attention of the Accounts Payable Manager.
• Reconciles bank statements (Knowledge of how both bank and accounting views debits and credits and balancing the account).
• Create correction/reclass general journals. Must be proficient in debits and credits, with knowledge of how bank corrections tie into AP journals.
• Review travel expense reimbursements transactions for daily coding, descriptions, receipts, and compliance with company policies, as well as generating a General Journal weekly to record travel expenses and upload statements to system
• Research and void checks older than one year in the system to unclaimed property. Create and mail unclaimed property letters to the vendors and update the unclaimed property file that is utilized by the Corporate Accountant. Must have a strong understanding of debits and credits and proper backup for accounting records.
• Generate the Purchase Order invoices, and a payment journal for internal product transfers orders.
• Assist with compiling information for auditors during the year-end audit as directed by the Accounts Payable Supervisor.
• Continuously review AP processes to streamline workflows, reduce manual tasks, and support automation initiatives. Serve as a subject matter expert on AP systems and tools, providing guidance on system functionality and best practices.

Qualifications:

• Associate Degree in Accounting is required
• Minimum of 4 years of accounts payable experience is required
• Must be proficient in debits and credits.
• Proficiency in Microsoft Office (Outlook, Word, Excel).
• Strong organizational and communication skills.
