Director of Operations and Facilities

This isn’t a role for a bystander; it is a seat at the table for a leader who excels at bridging the gap between executive strategy and world-class execution.

As the Director of Operations, you will have the autonomy to shape our infrastructure, the authority to lead our people, and the responsibility to ensure our firm runs with surgical precision. If you are a "systems thinker" who can manage a Microsoft 365 environment in the morning and lead a high-level strategic partnership meeting in the afternoon, we want to talk to you.

The Core Mission You will partner directly with ownership and executive leadership to align our day-to-day operations with long-term firm goals. Your mission is to maintain a high-performance culture where accountability is the standard and efficiency is the byproduct.

The Ideal Profile
  • Executive Presence: You possess deep business acumen and can communicate effectively with owners and directors.

  • Technically Savvy: You have "under-the-hood" experience with M365 Global Administration and litigation case management software (Filevine experience is a major plus).

  • Independent & Decisive: You don’t wait for a roadmap; you build one. You are comfortable operating with limited oversight in a fast-paced environment.

  • Change Agent: You have a proven track record of leading operational change initiatives and navigating organizational development.

  • Financial Literacy: You understand the "why" behind the numbers and can forecast operational needs with accuracy.

salary: $90,000 - $110,000 per year

Responsibilities

  • Executive Partnership: Collaborate with ownership to align operations with firm strategy; lead leadership meetings and drive operational follow-through with data-driven recommendations.

  • Strategic Initiative Management: Identify risks, proactively implement solutions, and guide cross-functional projects from conception through execution as a key decision-maker.

  • Operational Infrastructure: Architect internal workflows and oversee major system implementations, ensuring the integrity of case tracking and reporting metrics.

  • Tech Administration: Serve as Microsoft 365 Global Admin; manage SharePoint, user permissions, and IT vendor relations to ensure data security and operational continuity.

  • Case Management: Optimize litigation workflows; experience with Filevine or similar case management software is strongly preferred.

  • People & Culture: Oversee staffing productivity via analytics, manage capacity planning, address performance challenges, and foster a high-accountability, collaborative culture.

  • Financial Oversight: Monitor budgets, review payroll/invoices, evaluate cost efficiencies, and manage all insurance renewals and negotiations.

  • Facilities & Vendors: Lead facilities management and property relations; maintain relationship-driven vendor partnerships through regular performance evaluations.

  • Candidate Profile: High-level business acumen with the ability to operate independently; decisive and technically proficient in fast-paced environments.
