Payroll Specialist / Staff Accountant / Project Accountant

The Payroll Specialist / Staff Accountant / Project Accountant will be responsible for processing payroll, maintaining the general ledger, preparing reconciliations, analyzing account data, participating in month-end close, and performing general accounting duties within the Accounting Department.
Responsibilities
- Coordinates and performs periodic and off-cycle payroll processing.
- Provides instructions for payroll processing software application to employees for access to direct deposit, W-2 information, etc.
- Responsible for creating, maintaining, and inputting payroll records, including the performance of all required file maintenance in the payroll software.
- Analyzes time sheet data and verifies with supervisors and managers as needed to ensure accuracy and resolve discrepancies.
- Files, maintains, and archives payroll records in a secure and confidential manner.
- Processes payroll deductions/withholdings, prepares reconciliations and transmits funds as appropriate, for example, 401k, HSA, Garnishments, and Cobra.
- Maintains accurate payroll data within accounting and payroll software applications.
- Prepare all assigned journal entries and related month-end close duties.
- Assist with monthly client invoicing including invoice preparation, invoice portal uploads and project budget entry and review.
- Prepare various account reconciliations as assigned by supervisor.
- Review and research any reconciling items within the general ledger.
- Prepare and file local sales tax and personal property tax returns.
- Work with Accounting team members to prepare and distribute 1099s, W-2s, and any other federal and state required documents.
- Provide support and back-up to A/R, A/P and Payroll functions.
- Recommend improvements to Accounting processes including AP, AR, and Payroll.
- Assist with year-end support of review, audit and tax requirements, which may include research and reconcilement.
- Perform ad-hoc reports, and additional assignments, as directed by supervisor.
- Assist in the development and implementation of internal controls, accounting policies, and procedures.
- Additional duties as assigned.
Requirements
- Bachelor’s degree in Accounting or related field is preferred.
- Minimum three (3) years of related experience.
- Strong technical knowledge and use of pc-based computer systems and applications including MS Office Suite, web searches, database entry, and ERP systems.
- Knowledge of Payroll processing and related payroll duties.
- Knowledge of Accounts Receivable invoicing and cash receipt posting.
- Knowledge of general ledger account reconciliation.
- Knowledge of GAAP (Generally Accepted Accounting Principles).
- Knowledge of, and the ability to appropriately apply, basic math and accounting principles, procedures, and techniques with some guidance.
- Strong reading and comprehension skills, including the ability to understand and comply with accounting procedures and policies.
- Excellent collaboration, interpersonal, and customer service skills. Ability to build relationships with individuals at all levels.
- Ability to interact with all levels of employees, external partners, and clients.
- Strong organizational and prioritization skills.
- Excellent time management skills with a proven ability to meet deadlines.
- Strong level of professionalism and ability to maintain confidential information.
- Ability to handle stress and function in a high-paced environment.
- Knowledge of Paylocity and/or Deltek Vantagepoint software a plus.
