This position is specialized legal administrative and clerical work requiring complete familiarity with legal terminology, forms and procedures. Work is of a sensitive and confidential nature, as cases are often high in conflict and involve families and children at risk. An individual in this position is responsible for providing professional administrative services and support for the Unified Children’s Court Division judiciary and court staff. Work includes utilizing a full range of modern administrative skills to perform assigned job duties.

Responsibilities

  • Provides operational administrative support to the Division Director, Administrative Office of the Court staff, judiciary and judicial staff.
  • Handles incoming telephone calls for the main line of the division and responds to all inquiries.
  • Greets and assists litigants and the public as needed; assists and provides the public with community resource information and court information in regards to court procedures and status of court cases, pending matters, and motions filed in the division.
  • Works collaboratively with all system partners to carry out operational protocols to maintain and advance the operations of the division.
  • Operates computer systems to perform job responsibilities, including: researching related cases involving a family, calendaring cases, setting cases for hearing and noticing parties to appear for hearing, preparing and processing Clerk of Courts Orders of Transfer and Reassignment of related cases.
  • Research referrals received from judiciary, court staff, system partners and attorneys for related case identification and transfer to the division.
  • Assists with administrative duties and special projects as directed.
  • Provides administrative support to the Case Managers as needed.
  • Assists with coordination of Senior Judge coverage for division calendars.
  • Performs data entry and maintenance of logs and spreadsheets and the SharePoint System for the Unified Children’s Court Operations office.
  • Updates monthly data reports for statistical purposes, and compiles data reports as needed and directed.
  • Assists with Continuity of Operations Plan (COOP) and Emergency Management preparations and protocols.
  • Operates office equipment including: copier, fax, scanner, and shredder.
  • Coordinates and places supply requests through the Court’s Procurement Department.
  • Performs related duties as required.

Qualifications

  • Bachelor's degree from an accredited four-year college or university.
  • Two (2) years of experience preferred.
Knowledge, Skills and Abilities (KSAs):

  • Knowledge of the organization, functions, responsibilities, and procedures in the area of assignment.
  • Ability to communicate clearly and concisely, orally, and in writing.
  • Ability to establish and maintain effective working relationships with others.
  • Proficiency in Word, Excel, and data entry and retrieval.
  • Knowledge of modern office practices and procedures.
  • Ability to understand and follow oral and written instructions.
  • Ability to make work decisions in accordance with laws, regulations, and departmental policies and procedures.
  • Ability to accurately maintain a variety of complex records.
  • Ability to establish and maintain effective working relationships with the judiciary, court administration personnel, and other private and public agency staff.
  • Ability to work with minimal supervision and recognize and establish work priorities.
  • Ability to handle sensitive matters with integrity and confidentiality.
  • Ability to operate standard office equipment including personal computers and word processing and data entry applications for case management.
  • Ability to work effectively with the public and handle individuals who are under stress with courtesy, tact, and patience.
  • Ability to maintain office files.

Working Conditions:

  • Moderate noise; business office setting.

Physical Demands:

  • Work involves a significant amount of standing, sitting, talking, listening, balancing, stooping, and reaching with hands and arms; must be able to transfer up to 10 pounds.
