The Head of Administration is responsible for providing professional, efficient, timely Customer Service for Skyborne Airline Academy trainees while demonstrating an excellent set of organizational skills. Along with maintaining admission guidelines by closely following Skyborne's policies and procedures.
COMMUNICATION AND SCHEDULING ACTIVITIES:
- Communicate and coordinate trainings with the Admissions Team Lead at SAA including the TSA and Visa application, enrolment activities, student medical and insurance, transportation needs for trainees and student training records.
- Respond to individual student concerns and work with the appropriate department to resolve issues.
- Act as a liaison between Sales, Admissions, Immigration and Customer Support departments to ensure the above tasks are completed efficiently.
- Prepares admissions reports by collecting, analyzing, and summarizing data and trends.
- Manage the admissions and onboarding for SAA
TEAMWORK - INTERNAL AND EXTERNAL ACTIVITIES:
- Interact, develop, and maintain positive relationships with internal area vendors as needed for the direct benefit of the student.
TRAINING ACTIVITIES:
- Assist other Student Services teammates and trainees with questions and issues concerning aviation industry terminology, FARS and pre-requisites for Skyborne Airline Academy courses, as specified by FAA regulations.
- Train, coach, and develop staff to ensure efficient enrolment of all applicants.
MENTORING/MANAGERIAL ACTIVITIES:
- Provide project direction(s), set priorities and monitor staff achievement.
- Direct and/or facilitate department staff meetings and oversee distribution of meeting minutes to appropriate personnel.
- Complete performance appraisals documents and conduct performance appraisal conferences with employees.
- Interface with other supervisors/managers as needed.
- Approve time sheets for Student Services personnel as entered in Employee Self Services (ESS) portion of the SAP accounting system.
PREFERRED SKILLS:
- College degree from a four (4) year college or technical school preferred or three (3) years' related experience and/or training; an equivalent combination of education and experience; equivalency years' experience must be in a related field.
- Minimum of four (4) years' experience with Skyborne Airline Academy preferable majority of time within the Customer Support Functional Group. (internals only)
SOFTWARE/SKILLS REQUIREMENTS:
- General knowledge of the following software: Microsoft Office including Excel and PowerPoint. Experience with Elite Enterprise, J.D. Edwards or other large, automated accounting system a plus. Other software programs may be required, as needed.
OTHER SKILLS AND ABILITIES:
- Fluency in English through both verbal and written communication; able to speak, understand, read and write.
- Ability to interact with various levels of management in a professional manner.
- Ability to adapt to changing schedules and high-pressure situations.
- Ability to interact with varied customer base (current and/or prospective) while providing high level of customer service.
- Strong organizational and communication skills necessary.
- Knowledge of aviation terminology, FARs, and pre-requisites for Skyborne courses, as specified by FAA regulations.
OTHER DUTIES AND RESPONSIBILITIES:
- Coordinate with foreign students on issues related to VISA issuance, TSA, Form I-20 questions, clarification of immigration rules, international student employment and M-1 student employment from alternate M-1 schools.
- Accountable for the security of SAA materials, projects and business information regarding the methods and techniques used in the production and usage of SAA products.
- Participate in activities including supporting and promoting the safety culture, reporting of all aviation safety related issues via the feedback system and adhere to the processes related to accomplishing SMS goals.
- Some travel as required.
Full-Time, On-site
Salary Range $60-70K depending on experience.
