Human Resources Assistant

As a member of the EarthSoft Operations Department, the HR Assistant is an important part of the busy and dynamic Human Resources Team. You work under the direction of the Operations Coordinator to perform assigned tasks that will assist the team in achieving department and Company goals. A successful HR Assistant is an active collaborator, willing to help wherever needed, and possesses a pleasant disposition.

This position has access to sensitive personal information and secret Company data for specific purposes and on a need-to-know basis only; you must maintain the confidentiality of communications and the security of documents.

This job description is intended to provide a general overview of the position and does not encompass all tasks that may be assigned.

Responsibilities (what you do):

  • Assist with day-to-day operations of the HR team.
  • Perform front-end Human Resources tasks including posting available job openings, receiving, storing, and distributing resumes, and handling related communications internally, with vendors, and with applicants.
  • Support hiring process, including processing forms and background checks, checking references, and associated recordkeeping.
  • Assist with the Staff evaluation process, including scheduling evaluations, sending communication regarding evaluations, and storing completed evaluations.
  • Assist with the creation of slides for Staff Presentations and other internal communication materials.
  • Following company Standard Operating Procedures, support Company Travel and Expense Policies; assist with travel arrangements as requested.
  • Assist with Team and Company initiatives and special projects.
  • Support Management, Accounting, and Compliance teams, as requested.
  • Perform data entry and record filing tasks, as requested.

  • Possess a highly motivated work ethic to research cases and to acquire all pertinent information necessary; a personal determination to successfully complete all assigned tasks.
  • Able to take independent action and to use all available resources to perform assigned tasks, along with the ability to ask for guidance or assistance when needed.
  • Able to quickly learn new processes, techniques, and business tools to apply such knowledge and skills in the performance of assigned tasks.
  • Have self-discipline to produce the expected quality and volume of work within established timeframes, and to reliably complete assigned tasks properly and professionally.
  • Able to follow specific instructions, relevant Company Policies and Standard Operating Procedures to successfully achieve employee duties and team commitments and obligations.
  • Able to manage time, to properly prioritize, efficiently schedule, and regularly achieve multiple tasks related to team responsibilities and ongoing operations.
  • Strong attention to detail is essential in all assignments and duties. High standards for work product accuracy are expected and maintained as a matter of process.
  • Possess superior communication skills including active listening, writing, and speaking using clear and concise language.
  • Possess excellent computer skills with a demonstrated ability to learn and use business tools, including a working knowledge of Microsoft Office, Teams, and SharePoint. Experience with accounting and human resources software is preferred.
  • Have at least 2 years of previous work experience in a professional office setting.
