Rental Coordinator - Tampa, FL

A Rental Coordinator serves as an entry point into the equipment rental industry. This role focuses on building customer relationships, handling rental orders, tracking equipment locations and availability, coordinating logistics, managing billing, and addressing invoice inquiries. The position also involves collaborating with the outside sales team to ensure exceptional customer service and support.
Essential Functions
- Provide outstanding detail-oriented support processing rental reservations/agreements, invoices, equipment checks, and credit applications.
- Use company systems and tools, such as Salesforce and ERP, to document, track, and manage sales activities.
- Apply excellent verbal and written communication skills to support sales and management teams.
- Manage receiving, organization, tracking, and relocation of equipment and attachments.
- Maintain accurate and up-to-date inventory records.
- Deliver exceptional customer service by phone or through walk-ins, ensuring all necessary paperwork is completed.

- Bachelor's degree or equivalent experience preferred.
- Superior talent for building and maintaining relationships.
- Experience in processing and managing detailed paperwork.
- Strong organizational skills and ability to manage multiple projects simultaneously.
- Strong computer skills; proficiency in Microsoft Office Suite required.
- Excellent communication and customer service skills.
- Primarily an office role, but candidates must be prepared for frequent outdoor yard visits for equipment order fulfillment.
Military service will be considered in lieu of education/certification experience as applicable. Supervisory Responsibilities

Work Environment
- Primarily based in a front desk or customer service office setting.
- Climate-controlled workspace equipped with standard office tools such as computers, phones, and CRM systems.
- Frequent interaction with customers, vendors, and internal staff in person and via phone/email.
- Regular visits to the repair shop and outdoor equipment yard to coordinate with technicians or support customer needs.
- Occasional exposure to moderate noise, dust, grease, and heavy machinery during shop or yard visits.
- Outdoor yard visits may involve exposure to weather conditions such as heat, cold, rain, or wind.
- Uneven terrain and moving equipment require proper footwear and attention to safety.
- Must be comfortable transitioning between office environments and more physically active industrial areas.
- Strong communication, multitasking, and coordination skills required across departments.
- Adaptability and situational awareness are essential in balancing administrative and operational duties.

- Requires a moderate level of physical activity and flexibility for office and operational tasks.
- Occasional bending, squatting, crouching, reaching, and lifting or carrying items up to 50 pounds.
- May require moving materials, tagging equipment, retrieving items from storage, or assisting in the yard/shop.
- Regular movement between indoor and outdoor work areas.
- Walking in repair shops and equipment yards may involve uneven terrain, weather exposure, and proximity to active machinery.
- May involve long periods of standing, walking, or sitting.
- Manual dexterity and visual acuity required for office equipment and paperwork.
- Must maintain situational awareness in dynamic areas shared with vehicles and equipment.
