Position Overview and Responsibilities:

This position serves as an Administrative Assistant, in the Division of Recreation and Parks, Bureau of Natural and Cultural Resources. Assists the bureau staff in conducting daily administrative activities and tracking special projects or activities. Assists with purchasing/requisitioning and invoicing. Performs purchasing card transactions, including monitoring transactions in the WORKS system. Serves as a requisitioner for purchase orders, including e-Quotes. Functions as the liaison between the bureau’s hiring managers and Human Resources (HR) office; provides support with hiring and onboarding procedures, as well as new employee orientation procedures. Assists with personnel matters such as timesheets, work schedules, annual leave coordination. Monitors office supplies. Performs special assignments, research and report preparation as requested. Serves as receptionist, answers telephone, greets, announces, and routes visitors. Maintains office calendar of events and travel. Assists bureau staff, as necessary, with travel authorizations and reimbursements via State Travel Management System (STMS).

Required Knowledge, Skills, and Abilities:

Knowledge of:

  • Knowledge of general office procedures and practices.
  • Knowledge of standard business formats for letters and forms.
  • Knowledge of bookkeeping practices and procedures.

Skill in:

  • Skill in utilizing Microsoft Office suite of programs.

Ability to:

  • Ability to learn various purchasing and tracking software.
  • Ability to plan, organize and coordinate work activities, review data for accuracy and completeness.
  • Ability to identify problems, suggest solutions, and proceed with implementation.
  • Ability to communicate effectively both verbally and in writing, and establish and maintain effective working relationships with others.
  • Ability to determine work priorities and ensure proper completion of work assignments.
  • Ability to conduct fact finding research.
  • Ability to work independently.

Minimum Qualifications:

  • Valid Driver’s License.

Position of Special Trust Requirement:

This position is designated as a Position of Special Trust in accordance with DEP Directive 422, Positions of Special Trust or Responsibility. Successful completion of background screening will be required for this position.

Preferred Qualifications:

  • 1 year of professional administrative experience.

Pay:

$3,671.68 - $4,038.84 Monthly (commensurate with experience)
