Administrative Assistant

The Administrative Assistant at Gould’s Air Conditioning and Heating will function as the first point of contact for both internal and external stakeholders of the company. They are expected to present a professional and approachable front on behalf of the company and provide efficient organisational support to the entire team. This role involves a blend of communication, administrative, secretarial, and data-entry duties.

Responsibilities:

  • Manage, screen, and forward incoming calls while providing necessary information.
  • Receive, sort, and distribute daily mail/deliveries and manage outgoing mail.
  • Perform clerical duties, including, but not limited to, photocopying, faxing, mail distribution, and filing.
  • Coordinate calendar schedules for departmental and team meetings. Organize and scheduling appointments and events.
  • Maintain an organized filing system of paper and electronic documents.
  • Update and maintain office policies and procedures, ensuring they align with the company objectives.
  • Order office supplies and keep an inventory of stock.
  • Support team by performing tasks related to the organization and strong communication.

Qualifications:

  • A minimum of a High School Diploma, although an associate’s or bachelor’s degree in business, administration, or a related field is preferred.
  • Proven admin or assistant experience, ideally within a similar industry.
  • Knowledge of office management systems and procedures.
  • Familiarity with the MS Office Suite, particularly MS Excel, Word, and PowerPoint.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills with the ability to multitask efficiently.
