* *This is a full-time, in-office position based in St. Petersburg, FL requiring on-site presence 5 days a week. We are not offering relocation assistance at this time.

Job Overview:
The Accounts Receivable Specialist is responsible for managing the full-cycle accounts receivable process, including reconciling customer accounts, processing and applying payments, and ensuring timely collections. This role plays a critical part in maintaining accurate financial records and supporting customer satisfaction through clear and professional communication.

Responsibilities:
  • Customer Account Reconciliation
    • Reconcile customer accounts to ensure accuracy and resolve discrepancies.
    • Investigate and resolve unapplied or misapplied payments.
    • Collaborate with the billing and customer success teams to address account issues.
  • Payment Processing
    • Process incoming payments via checks, ACH, and other payment methods.
    • Prepare and make physical or remote check deposits.
    • Accurately apply payments to customer accounts in the accounting system.
  • Collections & Communication
    • Monitor aging reports and follow up on past-due accounts.
    • Communicate with customers regarding outstanding balances and payment plans.
    • Maintain detailed records of collection activities and customer interactions.
  • Reporting & Documentation
    • Assist in month-end closing by preparing AR reports and reconciliations.
    • Maintain accurate and up-to-date customer records.
    • Support audits by providing necessary documentation and explanations.
  • Process Improvement
    • Identify opportunities to streamline AR processes and improve efficiency.
    • Assist in implementing automation tools or system enhancements.
Education and Experience:

  • Associate’s or bachelor’s degree in accounting, Finance, or related field preferred.
  • 2+ years of experience in accounts receivable or general accounting.
  • Experience in the SaaS or UCaaS industry is a plus.
  • Proficiency in accounting software (e.g. Rev.io, QuickBooks, or similar).
  • Strong Excel skills and familiarity with ERP and CRM systems.
  • Excellent attention to detail and organizational skills.
  • Strong communication and interpersonal abilities.

Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift up to 20 pounds at times.
