Job Description:

The Department of Biochemistry and Molecular Biology (BMB) is hiring a Research Administrator II to provide comprehensive administration and oversight of contracts and grants across the department. The Research Administrator II will serve as a resource to BMB providing communication, guidance, and assistance regarding research administration policies, procedures, and best practices. They will collaborate with faculty and staff to support compliance, funding management, and any other related research or administrative concerns. This position ensures compliance with university, state, and federal regulations from proposal to award inception and closeout. The Research Administrator will work closely with faculty and research staff, providing support in fiscal management, reporting, and operational oversight of funded projects.

About This Role:

Post Award Administration Assistance

  • Manage all research administration activities for clinical trials, contracts, and grants within the Department of Biochemistry and Molecular Biology.
  • Review and approve grant-related transactions, prepare budget transfers, and ensure expenditures are allowable.
  • Provide monthly financial reports to Primary Investigators (PIs) and assist with progress reports and agency requirements.
  • Provide effort reporting for all PIs within portfolio and ensure compliance for cost-sharing and salary cap when needed.
  • Assist with project closeouts, monitor expenditures for compliance, and help PIs prepare final financial reports.
  • Ensure timely notification for reporting requirements and project milestones.
  • Develop and maintain standard operating procedures for grant and contract management.

Pre-Award Administrative Assistance

  • Provide comprehensive pre-award support, including budget development, proposal submission, and regulatory compliance review.
  • Interpret complex sponsor guidelines and ensure proposal adherence to university policies.
  • Develop multi-year budgets for large-scale, multi-department proposals, including complex funding structures.
  • Coordinate institutional approvals, subcontract agreements, and other required documentation.
  • Manage proposal submission timeline and coordinate with all relevant parties to ensure timely submission.

Fiscal Accounting Duties and Compliance Assurance

  • Oversee the reconciliation of project accounts, ensuring accurate and timely posting of financial transactions.
  • Review and monitor encumbrances, adjusting as necessary to maintain budget accuracy.
  • Coordinate with departmental finance staff to manage payroll distributions, encumbrances, and expenditure corrections.
  • Support the preparation of audit documentation and compliance reviews, ensuring all fiscal activities meet university and agency standards. Collaborate with procurement teams to facilitate purchases and ensure proper allocation of expenses to appropriate accounts.

Works with department Director of Administrative Services and other department leadership on assigned projects as needed. Participates in professional development activities to maintain current knowledge of research administration trends and requirements.

Expected Salary:

$55,000 - $65,000; commensurate with education and experience.
