Construction Billing Specialist Assistant
Position Summary:
Our Corporate Accounting Team is seeking a Billing Specialist with strong experience in project invoicing and contractual compliance to join our collaborative team. The Construction Billing Specialist Assistant supports the billing function for construction projects by assisting with the preparation, review, and submission of customer invoices. This role focuses exclusively on billing support activities and documentation, ensuring accuracy, adherence to contractual requirements, and timely invoicing. The ideal candidate is detail-oriented, highly organized, and able to work collaboratively with Project Managers, Accounting, and the Billing team to support accurate revenue reporting.
Education & Experience Requirements:
- Basic understanding of construction contracts, billing schedules, and job costing
- Bilingual: English and Spanish
- Accounts Receivable exposure a plus
- Strong attention to detail and accuracy
- Good written and verbal communication skills
- Organizational and time-management abilities
- Ability to manage multiple tasks and deadlines
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Sage and QuickBooks a plus
- Team-oriented with a positive, professional attitude
Key Responsibilities
- Communicate with employees, contractors, and customers to support assigned departments and projects
- Investigate and resolve customer billing inquiries via phone and ServiceNow
- Assist with payment posting, reconciliation procedures, and support the Collections team with dispute resolution
- Update billing records to reflect current and accurate contact information
- Assist in the preparation and submission of customer invoices in accordance with contract terms and billing schedules
- Compile, organize, and maintain supporting billing documentation and backup
- Verifying billing information, including quantities, rates, and required approvals, prior to invoicing
- Coordinate with Project Managers to obtain required billing data
- Maintain accurate billing records and organized filing systems
- Support monthly billing cycles and reporting activities
- Identify potential billing discrepancies and escalate issues for resolution
- Assist the Accounting and Billing teams with related administrative tasks as needed
- Support daily and monthly billing operations
- Maintain organized billing documentation
- Interface with internal departments regarding billing status
- Meet established billing deadlines and accuracy standards.
