Receptionist / Administrative Assistant
- Front Desk & Office Operations
- Greet clients, consultants, and guests with professionalism and warmth.
- Manage a multi-line phone system, screening and routing calls appropriately.
- Monitor voicemails, general email inboxes, and ensure timely follow-up.
- Maintain the reception and common areas to ensure a professional and organized space.
- Open and close the office daily, ensuring readiness and security.
- Handle mail, packages, and courier deliveries.
- Administrative & Calendar Management
- Provide direct administrative support to the CEO and COO.
- Draft internal communications, send team reminders, and compile daily updates.
- Track employee time and attendance; assist with reporting.
- Schedule meetings, Lunch & Learns, and manage multi-calendar coordination.
- Format documents, manage digital and hardcopy filing systems, and assist with document preparation.
- Support office events, including setup and hospitality coordination.
- Technology & Software Proficiency
- Operate office equipment including printers, scanners, and phone systems.
- Proficiently use Microsoft 365 Suite (Outlook, Word, Excel), Microsoft Teams, Dropbox, and Adobe Acrobat.
- Assist with light design tasks using Canva or Adobe InDesign.
- Team & Leadership Support
- Coordinate team schedules and provide daily support to executive leadership.
- Liaise with external vendors, consultants, and event presenters.
- Ensure the team is informed of key deadlines and meetings.
- Required
- 1-2 years of experience in a receptionist or administrative assistant role.
- Strong verbal and written communication skills.
- High degree of professionalism, discretion, and reliability.
- Excellent organizational and multitasking abilities.
- Proficiency with Microsoft 365, Outlook, Teams, Dropbox, and Adobe Acrobat.
- Preferred
- Experience in an architecture, engineering, or professional services firm.
- Familiarity with project management or time tracking software.
- Event coordination or hospitality background.
