Duties and Responsibilities:
- Serves as the Travel Preparer in the Statewide Travel Management System (STMS) for all travel reimbursements and maintains the DOAH’s Travel Log and monitors the [email protected] inbox daily. Communicates any identified issues with the Travel Preparer, Traveler, and the Traveler’s Supervisor when needed.
- Responsible to conduct travel training for staff upon request either in person or via Zoom.
- Responsible for keeping current on all of the laws, policies, and procedures pertaining to reimbursing staff and others traveling on behalf of the state of Florida and making recommendations to the Operations Manager for improvements to the travel procedures as needed.
- Responsible for processing cash, checks, ACH receipts and online payments to be recorded and transmitted accurately in FLAIR/Florida PALM.
- Responsible for the maintenance of property records in the Florida Accounting Information Resource (FLAIR) property subsystem. This includes recording financial information regarding Operating Capital Outlay (OCO), from acquisition through disposal, and their related single line item depreciation at time of disposal.
- Responsible for the monthly reconciliation of property records.
- Processes the Record of Appeal Refunds requests received by the Clerks Office and submits the Application for Refund and DOAH Memo for approval and maintains the Record of Appeal Tracking Log.
- Responsible for setting up and processing account receivables for services provided prior to June 30th each year.
- Completes and submits the Accounts Receivable Write-off form to Department of Financial Services (DFS) as needed and submits the Annual Report of Claims for Collection to DFS.
Knowledge, Skills, & Abilities:
- Knowledge of accounting principles, theory, and concepts;
- Knowledge of internal control concepts;
- Ability to understand and apply applicable rules, regulations, policies, and procedures relating to accounting programs;
- Ability to prepare and maintain a variety of accounting records;
- Ability to work independently;
- Ability to problem-solve and make decisions;
- Ability to use a personal computer and utilize automated spreadsheet applications;
- Ability to analyze and interpret accounting data;
- Ability to communicate effectively, verbally and in writing; and
- Ability to establish and maintain effective working relationships with others.
Required Qualifications:
- Must possess a high school diploma or the equivalent.
Preferred Qualifications:
- Experience working with FLAIR.
- Knowledge of the statutory requirements for state travel.
- Experience working in the STMS application.
- Experience recording and reconciling service payments.
