Qualifications & Skills
  • strong understanding of contract administration, project cost-coding, and accounting systems.
  • Knowledge of federal, state, and local lien laws with experience filing lien documentation.
  • Experience with certified payroll review and processing support.
  • Proficiency handling corporate insurance requirements (certificates, OCIP) and bonding processes.
  • Excellent analytical skills for client credit evaluations and background analysis.
  • strong organizational skills and the ability to seamlessly support cross-functional field and management teams.

Responsibilities

  • Contract & Project Setup: Review contracts to ensure compliance with terms, provide required documentation, and verify accurate project establishment and contract value updates within company systems. Handle new job setups, ensuring precise entry of project info and billing requirements.

  • Financial Tracking: Record contract cost estimates and update revisions to cost code estimates within the accounting system.

  • Insurance & Bonding: Issue company-required insurance certificates to clients. Gather data and prepare Owner Controlled Insurance Program (OCIP) enrollments and monthly reporting. Review bonding requirements and coordinate the issuance of payment and performance bonds.

  • Lien Compliance: Ensure strict compliance with federal, state, and local lien laws. File all lien requirements (e.g., Notices to Owner, Notices of Commencement, Notices of Non-Payment) and meticulously review lien releases for accuracy prior to officer execution.

  • Payroll Review: Review and approve certified payroll reports for accuracy, providing backup support for certified payroll processing and submittals.

  • Client Onboarding: Review and establish profiles for new clients, including performing credit reviews, background analysis, and gathering documentation for account approval.

  • Operational Support: Prepare contractor prequalification packages , provide ongoing support to Project Managers and field teams , and assist with special projects or other duties as assigned.
